Secretary Class III, Center for Healthcare Education - Full-Time Position Position Summary

The Secretary for the Center for Healthcare Education is responsible for providing administrative, clerical, and operational support to the Center's leadership, faculty, staff, students, and community partners. This position serves as the primary point of contact for visitors and inquiries, coordinates office activities, maintains departmental records, manages schedules and communications, and supports the successful execution of programs, meetings, and special events.

Essential Duties and Responsibilities
  • Provide comprehensive administrative support for the Center for Healthcare Education, including correspondence, document preparation, filing, and record management.
  • Serve as the primary receptionist and point of contact for students, faculty, staff, visitors, and external stakeholders.
  • Manage departmental calendars, schedule meetings, reserve facilities, and coordinate appointments.
  • Prepare, process, and distribute reports, meeting materials, agendas, minutes, and official communications.
  • Maintain student, program, and departmental records while ensuring confidentiality and compliance with institutional policies.
  • Assist with processing purchase requisitions, invoices, budget tracking, and other routine financial documentation.
  • Coordinate logistics for workshops, training programs, advisory committee meetings, community outreach activities, and special events.
  • Support faculty and staff with administrative needs related to healthcare education programs and initiatives.
  • Monitor office supplies and equipment; initiate orders and service requests as needed.
  • Maintain departmental databases and assist with data entry, report generation, and record accuracy.
  • Receive, sort, and distribute mail and electronic communications.
  • Assist with student intake, registration processes, and inquiries regarding healthcare education programs and services.
  • Support accreditation, compliance, grant, and reporting activities through document organization and record maintenance.
  • Perform other related duties as assigned to support departmental operations and strategic initiatives.
Required Qualifications
  • Associate degree in business administration, office administration, education, or a related field; equivalent combination of education and experience may be considered.
  • Minimum of two years of administrative, clerical, or office support experience, preferably in higher education, healthcare, or workforce development settings.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Demonstrated ability to manage multiple tasks and priorities with accuracy and attention to detail.
  • Strong written, verbal, interpersonal, and customer service skills.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Experience with scheduling systems, databases, and office technology preferred.
Working Conditions
  • Primarily office-based within the Center for Healthcare Education.
  • Frequent interaction with students, faculty, staff, healthcare partners, and community stakeholders.
  • Occasional evening or weekend hours may be required to support special events, meetings, or program activities.
  • Regular operation of standard office equipment, including computers, printers, and scanners.
  • Moderate lifting of office materials and event supplies up to 25 pounds.
