Overview

Chenega Enterprise Systems & Solutions, LLC, a Chenega Professional Services' company, is looking for a Victim Notification Administrative Analyst to work with FBI's Victim Outreach Support & Strategy Team (VOSS) to help ensure that the FBI's responsibility for timely notification is met. This position will provide full service administrative support to victim services providers (VSPs) within the VSD. The goal behind providing full scope support is to lighten the administrative load for the direct service providers to victims, provide one central location for data management and storage, and to help maintain data accuracy inside of FBI systems and VSD databases. The victim notification analyst contractors shall develop expert knowledge on FBI systems, VSD databases and the Attorney General Guidelines for Victim and Witness Assistance in support of the FBI VSPs both in the field and at headquarters.

Responsibilities
  • Support FBI victim services providers for administrative duties in conjunction with case management.
  • Interact and collaborate seamlessly with FBI personnel (including Executive Management)
  • Provide mentorship and training to new victim notification analysts.
  • Provide administrative support to VSD VSPs while also supporting other headquarters VSD employees. Answer phones, prepare reports, track work, manage email correspondence and maintain schedule/calendar.
  • Update the VNS Standard Operating Procedure (SOP) document
  • Provide typing/word processing support including spreadsheets, memos and correspondence
  • May generate labels using mail merge and graphs/tables using graphic software.
  • Handle confidential subject matter frequently.
  • Open, review, prioritize and take action on incoming mail within three business days. Send mail, send/receive faxes and make copies
  • Update and maintain data, manipulate and define reports for specific tracking purposes. May take the lead role in managing projects.
  • Generate reports, evaluate data and make recommendations/summarize trends for supervisor review.
  • Serve as primary point of contact for clients and communicates using appropriate tact and discretion.
  • Develop, set up, maintain and retrieve organizational files and records
  • Keep abreast of laws and regulations that apply to a particular staff function or field of professional expertise to maintain up-to-date compliance.
  • Confer with appropriate internal and external offices to ensure that required procedures are followed.
  • Analyze complex data and extracts and defines relevant information, interprets data, identify issues, provide alternative solutions, and resolve problems.
  • Serve as a liaison between the coordinators, unit personnel and management, and internal and external clients and oversight of groups, may require in person meetings or site visits.
  • Assist in testing new or modified systems to check functionality and business processes and prepare recommendations for new or modified systems
  • Provides system training as needed and develops a training SOP with the VNS-Coordinator.

Qualifications
  • Bachelor's Degree from an accredited University.
  • Active Top Secret clearance.
  • Minimum of two (2) years of relevant experience in a professional environment.
  • Two (2) years of documented experience and proficiency in MS Excel and MS Suite of tools
  • One (1) year documented experience using Microsoft SharePoint
  • Four (4) years of relevant experience in a professional environment performing similar administrative tasks can be substituted for post-secondary education.

Knowledge, Skills and Abilities:
  • Able to prepare and modify documents including correspondence, reports, drafts, memos and e-mails.
  • Experience in data analytics, prioritization of projects and strong problem-solving skills, good research skills and attention to detail.
  • Ability to work effectively with others and have good interpersonal skills.
  • Program and project management experience.
  • Ability to coordinate/facilitate/lead meetings & conference calls, etc. with internal and external customers.
  • Experience creating and giving formal presentations.
  • Experience and proficiency utilizing, building, and updating Microsoft SharePoint websites in a professional work environment.
