This role is responsible for handling confidential information and maintaining professionalism. What You'll Do:
  • Serve as Executive Assistant to the Chief Financial Officer, as well as direct reports and other executives.
  • Coordinates executive/administrative functions with appropriate staff.
  • Act as a best practice/quality resource for other administrative professionals.
  • Assist in establishing and maintaining appointment schedules for the Finance, Facilities and Operations teams as needed.
  • Organize, communicate and make arrangements for department meetings/functions and trainings and travel. Work with assorted vendors on contracts for venues, lodging, meals and entertainment. Be fully available as contact person for meeting attendees.
  • Supports the Sr. Executive Assistant and Executive Assistants in the planning and execution of the GreenStone Executive, Sales, IS, Credit Leadership meetings when needed.
  • Timely preparation and distribution of reports, correspondence, certifications, and information to appropriate members of the organization as requested.
  • Responsible for smooth information flow between Chief Financial Officer and other Executives or staff.
  • Participate in meetings as needed by the Chief Financial Officer to take minutes, then type and distribute to appropriate parties as needed.
  • Monitor and ensure receipts are properly obtained for the CFO Corporate Credit Card. Monitor credit card activity for potential fraud.
  • Maintain filing system both electronically and paper accurately and timely.
  • Work with vendors (Navan, hotels, etc.) to establish and maintain contracts on behalf of GreenStone.
  • Assist with travel, hotel, car arrangements and information as requested by team members.

What We're Looking For:
  • HS Diploma or Equivalent required.
  • 5+ years administrative experience supporting senior leadership or equivalent experience.
  • Membership and continuing education through the IAAP (International Association of Administrative Professionals) preferred.
  • Finance, Lending or Banking experience preferred.
