Job description

Executive Assistant

The posted compensation range of $32.38 - $48.17 /hour is a reasonable estimate that extends from the lowest to the highest pay CommonSpirit in good faith believes it might pay for this particular job, based on the circumstances at the time of posting. As our Executive Assistant, you will be an indispensable strategic partner, providing high-level administrative leadership and support to empower executive effectiveness. Every day, you will expertly oversee daily administrative operations for executives, acting as a primary point of contact and independently managing routine matters. You'll represent executives, manage schedules, coordinate communications, and prepare sensitive documents, utilizing comprehensive organizational knowledge for confident decision-making. To be successful in this role, you will possess exceptional organizational skills, discreet judgment, superior communication, and advanced tech proficiency.

  • Provides secretarial support to executive, including complex scheduling and calendaring support, travel arrangements, expense reports, budget support, answering and prioritizing communications/ correspondence, and other secretarial tasks that support efficient organization of the executive's time. May coordinate budget preparation and consolidation activities for executive; monitors and maintains accurate account of budget and department sub-accounts. Interacts with both internal and external customers on executive's behalf.
  • Provides meeting and special event support for executive and department, including scheduling, invitations, creating agendas, preparing materials (such as presentations and reports), arranging catering/floral, setting up A/V, and taking/preparing/distributing minutes.
  • Acts as a liaison between executive and staff, communicating assignments, tracking project status, getting updates, answering questions within scope of responsibility, and ensuring optimal and efficient communication flow throughout department.
  • May produce and maintain contracts/agreements and monitor compliance with applicable terms and provisions. Researches, drafts, edits and presents a variety of documents, reports, data and other metrics.
  • Provides office management for department and may provide oversight/direction to lower-level administrative staff.
  • Demonstrates knowledge and proper skills associated with the department's defined specific populations served.
