Executive Assistant for Plant Manager (In Plant)
Executive Assistant to provide comprehensive administrative and operational support to the Plant Manager and broader leadership team. This role is critical to ensuring the smooth day-to-day functioning of the plant's executive office, combining traditional executive assistant duties with reporting, event coordination, and cross-team support responsibilities. The ideal candidate is detail-oriented, discreet, and comfortable operating in a fast-paced manufacturing or industrial environment, juggling multiple priorities while maintaining professionalism and confidentiality.
Key Responsibilities
• Manage the Plant Manager's calendar, scheduling meetings, appointments, and travel arrangements
• Screen and prioritize incoming correspondence, calls, and requests
• Prepare, edit, and proofread emails, memos, presentations, and other business documents
• Coordinate and prepare agendas, materials, and minutes for leadership meetings
• Handle confidential information with the utmost discretion
• Process expense reports, invoices, and purchase orders as needed
• Act as a liaison between the Plant Manager and internal/external stakeholders Reporting & Data Support
• Compile, generate, and distribute regular operational, production, and performance reports
• Track key metrics and deadlines, following up with relevant departments to ensure timely data submission
• Maintain organized filing systems (digital and physical) for reports, records, and documentation
• Support data entry and basic analysis using Excel or other reporting tools Event & Meeting Coordination
• Plan, organize, and execute plant events, including town halls, employee recognition events, leadership visits, and off-site meetings
• Coordinate logistics such as venue booking, catering, materials, and vendor management
• Manage event budgets and ensure cost-effective execution
• Collaborate with HR, Communications, and other teams on employee engagement activities Team Support
• Provide administrative support to the broader leadership/management team as needed
• Assist with onboarding logistics for new hires (badges, workspace setup, welcome materials)
• Serve as a point of contact for general office and administrative inquiries
• Support special projects and initiatives as assigned by the Plant Manager
Qualifications Required:
• 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role, ideally within a manufacturing, plant, or industrial setting
• Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word); familiarity with reporting/dashboard tools a plus
• Strong organizational and time-management skills with the ability to multitask and prioritize
• Excellent written and verbal communication skills
• High level of discretion and professionalism when handling confidential information
• Strong attention to detail and accuracy
Preferred:
• Associate's or Bachelor's degree in Business Administration or related field
• Experience supporting senior leadership in a manufacturing environment
• Event planning or project coordination experience
• Familiarity with plant operations, production terminology, or manufacturing KPIs
