Executive & Personal Assistant


Overview

We are seeking a proactive, detail-oriented Executive & Personal Assistant to provide administrative, financial, and logistical support to the CEO and company operations. This is an ideal role for someone who thrives on variety — you’ll gain hands-on experience in financial management, executive support, and personal coordination, all within a fast-paced entrepreneurial environment.

This in-person role is based in Bronxville, NY and requires regular onsite presence to support both business and personal needs.


Key Responsibilities

Financial Management & Bookkeeping

  • Process vendor payments (e.g., Wise.com, Schwab), reconcile credit cards, and manage invoices.
  • Review LLC statements/tax filings; ensure health insurance compliance; assist with 401K and retirement accounts.
  • Optimize personal and business credit card points/limits and maintain accurate expense tracking.

Executive & Administrative Support

  • Manage multi-account email inboxes and scheduling.
  • Oversee shipments, inventory, domains, and permits.
  • Coordinate meetings, appointments, and recurring administrative needs.
  • Conduct research and purchasing for business and personal requests.

Personal Finance & Real Estate

  • Review property and rental statements; collect/deposit rent checks.
  • Handle work orders, appliance purchases, leases, and insurance updates.
  • Maintain income/expense spreadsheets and real estate records.

Health, Travel & Logistics

  • Schedule medical check-ups and ensure insurance compliance.
  • Book domestic/international travel using points (e.g., Point.me, Chase/Capital One).
  • Manage passports, roaming plans, and reservations.

Procurement & Tech Support

  • Source and order supplies/food (e.g., Costco, FreshDirect).
  • Provide basic troubleshooting; open vendor tickets (e.g., Azure, HireSelect).


Qualifications

  • Bachelor’s degree in Business, Finance, or related field (preferred) or equivalent experience.
  • 3+ years in administrative roles (executive support ideal).
  • 1+ years in bookkeeping or finance.


Skills & Experiences

Core: Strong organization, time management, discretion, problem-solving, and communication.

Financial: Proficiency in accounting principles; QuickBooks, Excel, and online banking tools.

Administrative: Document management, vendor coordination, logistics, and scheduling.

Technical: Basic troubleshooting, Google Workspace, and fraud detection.

Travel/Procurement: Familiarity with booking platforms (e.g., Kayak, Point.me) and online sourcing.


Hours

Monday–Friday, 9:00 AM–5:00 PM (onsite).


Salary Range

$65,000 – $75,000, commensurate with experience.
