Senior Executive Assistant

We're looking for a Senior Executive Assistant to join Procore's Marketing & Strategy Organization. In this role, you'll manage a wide range of administrative and executive support-related tasks to optimize the effectiveness and efficiency of our executives. Your primary goal will be to identify and solve current and anticipated challenges for leadership as Procore continues to scale globally.

As a Senior Executive Assistant, you'll partner with external stakeholders, executive administrative staff, and the executive leadership team to coordinate complex calendars, manage high-impact special projects, and streamline executive operations. The position is supporting Executives across our Strategy Organization and is based in Heredia, Costa Rica. We're looking for someone to join us immediately.

What you'll do:

  • Manage active and complex calendars of appointments, prioritizing conflicting needs and anticipating schedule adjustments.
  • Monitor and respond to executive communications, drafting messages and preparing meeting materials on behalf of leadership.
  • Coordinate complex domestic and international executive travel itineraries, agendas, and associated expense reports.
  • Lead the tactical planning and logistics for high-profile events and meetings, including content preparation and follow-ups.
  • Handle confidential, sensitive special projects and high-impact initiatives with discretion and autonomy.
  • Facilitate seamless onboarding processes for new hires entering the executive organization.
  • Communicate professionally with direct reports, senior leadership, external customers, and partners across the business.
  • Partner with administrative colleagues across the company to streamline organizational workflows and best practices.

What we're looking for:

  • Bachelor's degree or equivalent practical work experience.
  • 4+ years of experience providing administrative support at the executive level.
  • 3+ years of hands-on experience using Google Workspace, Slack, and Concur.
  • Full written and verbal fluency in English to effectively collaborate with US-based leadership and global stakeholders.
  • Exceptional calendar management and organizational skills with deep experience coordinating distributed multi-participant meetings.
  • Proven ability to handle highly sensitive, confidential information with extreme discretion and professional judgment.
  • Approachable demeanor combined with outstanding written and verbal communication abilities.
  • Demonstrated flexibility and problem-solving skills in an ever-changing, fast-paced work environment.
