Job Summary


Reporting to the Chief Financial Officer (CFO), the Executive Finance & Operations Assistant is a role that combines high-level executive support with operational responsibilities across Biblica's finance and operations function. Approximately two-thirds of the role is operational in nature-administering the Biblica Ministries Foundation, supporting board and committee governance, managing Biblica's HQ property in Palmer Lake, Colorado, coordinating the enterprise risk management function, and handling statutory filings. The remaining one-third provides traditional executive support to the CFO.

This position calls for a proactive, resourceful self-starter who can anticipate needs without direction, research and implement cost-effective solutions, including the use of AI and other tools, and drive multiple time-sensitive priorities to completion with minimal supervision. Working closely with internal and external partners, including Board Trustees, investment advisors, and outside vendors, the Executive Finance & Operations Assistant manages highly sensitive and confidential matters with discretion, sound judgment, and a consistent commitment to accuracy and follow-through.

This is a position that requires a Colorado Springs Metropolitan area-based candidate able to work on-site at Biblica's HQ a minimum of two to three days per week, with the possibility of additional on-site time as property and operational needs require.

Duties and Responsibilities:


  • Foundation & trust administration: Independently manage the day-to-day operations of the Biblica Ministries Foundation, including processing tax returns, coordinating beneficiary payments, and administering trusts and annuities; serve as primary liaison with the Foundation's investment advisor and ensure ongoing regulatory compliance.
  • Board & committee support: Coordinate quarterly meetings of the Audit & Risk Committee, Global Finance Committee, and Foundation Board, including scheduling, logistics, and material preparation, and finalize agendas and meeting minutes with the CFO.
  • Property & facilities management: Serve as on-site facility point of contact for Biblica's HQ property, proactively identifying maintenance and service needs, coordinating HVAC and other vendor contracts, and keeping the facility safe, functional, and well-maintained. Provide full office support for on-site staff and staff meetings.
  • Enterprise Risk Management (ERM) coordination: Lead the annual property and casualty (P&C) insurance process, compiling required data and managing the rebidding of property, executive, and intellectual-property-related coverage. Compile and provide ERM reporting to the CFO.
  • Statutory & regulatory filings: Prepare and submit U.S. compliance filings and maintain state business registrations, ensuring Biblica meets all applicable statutory requirements.
  • Executive support to the CFO: Provide calendar management, meeting coordination, and support the CFO with day-to-day administrative needs.
  • Meeting planning: Plan and coordinate finance and operations meetings, including agenda development, travel logistics, and on-site activities.
  • Research & continuous improvement: Proactively research cost-effective solutions and leverage AI and other tools to streamline processes, reduce costs, and support sound decision-making for the CFO and the Finance & Operations team.
  • Signing authority: Exercise delegated signing authority up to $2,500 in accordance with Biblica policy.
  • Additional responsibilities: Perform other duties as assigned in support of the CFO and the broader Finance & Operations team.

Education and Experience

  • 5+ years of administrative support role experience required.
  • Minimum associate degree in a business-related field, bachelor's degree preferred.

Physical Requirements

  • Remote Schedule with a minimum of two to three days per week on-site at Biblica's HQ property.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Salary/Hours/Benefits:

  • Full-Time - 40 hours per week
  • Grade 300
  • Salary range: $56,000 - $70,000 (Determined by qualifications/experience)
