Make your mark in Western World

We are seeking a highly adaptable, proactive, and service-oriented professional to support the Head of Western World while also serving as a key operational partner for the broader Scottsdale office. This role goes beyond traditional executive support and requires an individual who thrives in a fast-paced environment, enjoys wearing multiple hats, and can seamlessly balance executive administration, office operations, facilities coordination, and team support responsibilities.


How you create an impact

The Executive Assistant role will interact with all levels of employees and all departments globally in various situations and must be courteous and respectful to all.The position will require general administrative assistance as well as analysis, reporting, and tracking of various events and activities. The ideal candidate will be able to demonstrate, under minimal supervision, the ability to perform clerical, administrative, and general office duties requiring advanced skills and significant experience.


Executive Support

  • Provide direct administrative support to the Head of Western World and assist leadership team members as needed
  • Coordinate logistics and communications for recurring leadership and All Hands meetings, including scheduling adjustments, materials, and meeting support
  • Coordinate travel arrangements and manage itinerary changes when necessary
  • Process expense reports and assist with light invoice processing and audit-related support
  • Maintain professionalism and confidentiality when handling sensitive information and communications
  • Assist with executive meeting preparation, presentations, reporting, and follow-up items

Office Management & Facilities Coordination

  • Serve as a primary point of contact for office operations and day-to-day workplace needs
  • Manage office vendors, service requests, deliveries, and facilities-related coordination
  • Maintain kitchen, snack, beverage, and office supply inventory, including monthly ordering and restocking
  • Coordinate catering and support onsite meetings, events, and team functions
  • Assist with office organization, workspace readiness, and operational efficiency initiatives
  • Track and manage company swag inventory and office materials
  • Support basic procurement and invoice coordination activities as needed

What you'll need to succeed


  • 1+ years direct experience supporting senior executives, preferably in a large, multi-national environment
  • Bachelor's Degree preferred, or equivalent work experience
  • Proven discretion, and demonstrated ability to assume autonomy and use independent judgement
  • Detailed knowledge of MS Office software including Word, Excel, and PowerPoint
  • Advanced ability to prioritize tasks and work with minimal supervision in a fast-paced environment
  • Dependable, proficient in multitasking and extremely detailed oriented
  • Ability to provide support with a highly specialized knowledge of administration, clerical, and managerial functions while maintaining confidentiality
  • Excellent organizational, time management, written and verbal communication skills
  • Knowledge of SAP, Concur, Ariba, SharePoint and Fieldglass a plus
