Responsibilities

The Executive Office Lead is a Limited Tenure position designed to provide comprehensive executive, operational, and personal support to the President and CEO of Mayo Clinic during the final phase of his executive leadership tenure and the subsequent transition period accompanying his leadership rotation. This unique role is intended to ensure seamless continuity of support, preserve critical relationships and commitments, and support the executive's evolving responsibilities following completion of his CEO term.

The position is intentionally structured as a limited tenure position with Mayo Clinic, with an anticipated duration of two years, while serving as a bridge to a potential long-term support relationship. During this period, the incumbent will develop a deep understanding of the executive's priorities, preferences, relationships, and operating style while establishing systems and processes that support continuity through and beyond the leadership transition. Subject to mutual agreement and satisfactory performance, the role is expected to transition to a dedicated, privately employed position supporting the executive.

Reporting to Mayo Clinic's Chief of Staff, the Executive Office Lead will spend the first two years learning the executive's preferences and operating style; using exceptional judgment, discretion, and initiative; and managing complex professional and personal priorities to ensure seamless coordination across executive, organizational, and personal commitments. Responsibilities include executive scheduling and travel coordination, administrative and logistical support, project management, thought leadership and social media coordination, correspondence and communications management, meeting preparation and follow-up, and stakeholder engagement.

During the initial two year appointment, the incumbent will progressively develop familiarity with and assume limited responsibility for personal operations and support activities. Following the transition to private employment, responsibilities are expected to expand to include personal assistant support and other lifestyle logistics.

The role requires developing a deep understanding of the executive's preferences, priorities, relationships, and operating style while creating systems and processes that seamlessly integrate professional and personal support. The incumbent must demonstrate the highest levels of professionalism, confidentiality, responsiveness, and adaptability while effectively managing competing priorities in a dynamic environment.
Appointment and Transition Structure

This position is hired as an exempt, Limited Tenure role within Mayo Clinic's Executive Office for a two-year period and qualifies for Mayo Clinic benefits. The position reports through the Executive Office and works in close partnership with the President and CEO and other Executive Office staff, with day-to-day alignment on priorities and support needs.

Throughout the appointment, the Executive Office Lead incumbent will progressively assume responsibility for personal operations and lifestyle logistics to support continuity and prepare for a potential transition to direct private employment supporting the executive, subject to mutual agreement and satisfactory performance.


This vacancy is not eligible for sponsorship/ we will not sponsor or transfer visas for this position. Also, Mayo Clinic DOES NOT participate in the F-1 STEM OPT extension program. 


Qualifications

A bachelor's degree is required. An associate degree/diploma in an administrative assistant, business, communications, hospitality, project management, or related field with equivalent experience as determined by the CEO may be considered in lieu of a degree.

Requires a minimum of five years of experience supporting senior executives, leaders, entrepreneurs, or high-profile individuals in an executive assistant, executive operations, chief of staff, personal assistant, or related role. 

Preferred Qualifications:

Experience managing both professional and personal operations is preferred.

Demonstrated knowledge of complex organizations, preferably in healthcare, academic medicine, corporate, or similarly sophisticated environments, is preferred. Must possess exceptional organizational, project management, and operational coordination skills, with the ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail.

Requires advanced proficiency with Microsoft Office applications and collaboration tools, including Outlook, Word, Excel, PowerPoint, Teams, Zoom, and related technologies. Experience supporting executive thought leadership, communications, and social media activities is preferred.

Must demonstrate excellent written and verbal communication skills, sound judgment, professionalism, discretion, and the ability to handle highly confidential information. Requires strong interpersonal skills, adaptability, initiative, and the ability to anticipate needs, solve problems independently, and build effective relationships with internal and external stakeholders, vendors, and personal contacts.
