Office Manager & Building Receptionist

Employment Type: Full-Time, Monday – Friday (8:30 AM – 5:00 PM)

Compensation: $20.00 – $25.00 per hour (Depending on Experience)

The Role

We are seeking an experienced, high-energy, and personable Office Manager & Building Receptionist to serve as the face and operational anchor of our property. In this dual role, you will be the primary point of contact for all clients, visitors, and vendors, while simultaneously ensuring the day-to-day operations of the building run like clockwork.

The ideal candidate possesses a natural gift for hospitality, immaculate organizational skills, and a proactive "get it done" mindset. Because we cater to a corporate and executive clientele, professionalism and modest attire are required.

Please Note: This is a strictly non-smoking position.

Key Responsibilities

Front Desk Hospitality & Communication

  • Act as the warm, professional first point of contact—welcoming residents, visitors, and vendors with exceptional customer service.
  • Answer, screen, and efficiently route incoming phone calls, emails, and digital inquiries.
  • Seamlessly manage incoming and outgoing mail, packages, courier deliveries, and tenant distribution.

Operational & Financial Administration

  • Maintain meticulous, accurate digital records of client information, facility usage, and maintenance requests.
  • Audit and verify the accuracy of vendor invoices using our specialized property management software, Yardi Kube (we will fully train you on this platform).
  • Actively track and log tenant usage of shared facilities and conference rooms.
  • Monitor, inventory, and proactively order office and kitchen supplies to keep the building fully stocked.

Leasing Support & Community Management

  • Support the leasing lifecycle by scheduling tour appointments, showcasing available executive and co-working spaces, and processing applications.
  • Lead the onboarding process for new tenants, ensuring a flawless move-in experience.
  • Regularly monitor common areas (lobby, breakrooms, corridors) to ensure they remain impeccably clean, safe, organized, and inviting.

Qualifications & Skills

  • Experience: Minimum of 2–3 years of proven experience in a receptionist, administrative assistant, or office management role. Experience within the Real Estate or Property Management industries is a major plus.
  • Education: High school diploma or equivalent required; advanced education/certifications are a plus.
  • Tech Savvy: Proficient in Microsoft Office (Word, Excel, Outlook). Ability to quickly learn and navigate new software databases (Yardi Kube).
  • Core Strengths: Outstanding interpersonal and verbal communication skills. You should genuinely enjoy interacting with people and building community relationships.
  • Organization: Sharp attention to detail, strong multitasking abilities, and the capacity to prioritize tasks effectively in a dynamic environment without losing your cool.
  • Professional Presence: Excellent presentation, grooming, and adherence to a professional, modest dress code.
