Job description

The Executive Assistant serves as a strategic partner to senior leadership, delivering high-level administrative support while also contributing to the execution of marketing and other administrative initiatives. This role blends executive coordination, organizational effectiveness, and marketing administrative support to drive initiative in many areas.
The individual in this role operates with a high degree of professionalism, organization, discretion, and initiative-anticipating executive needs, managing competing priorities, and ensuring seamless execution of day-to-day activities. In parallel, the Executive Assistant supports marketing activities, helping to coordinate product shows, scheduling, branded products, and internal and external communications with marketing team. An expectation to manage multiple projects is required in this role.
This position requires a highly organized, detail-oriented professional who thrives in a fast-paced environment and can effectively balance tactical execution with strategic awareness.
ESSENTIAL FUNCTIONS:
  • Owns and orchestrates complex, fast changing calendars across multiple executive - resolving conflicts before they surface.
  • Coordinates meetings across time zones, with agendas, materials and follow ups. Handles logistics from end to end.
  • Plans and books domestic and occasional international travel including flights, lodging, ground transportation, and detail itineraries
  • Builds clear travel itineraries and can solve issues swiftly when shifts need to happen in the itineraries. Anticipates potential challenges.
  • Reconciles travel expenses promptly; keeps reporting clean and audit ready.
  • Owns scheduling for Marco's executive level meetings, executive requested meetings and companywide meetings, where needed.
  • Coordinates logistics and materials for meetings, town halls, etc.
  • Works with team members across sites to coordinate engagement events.
  • Leads logistics for signature trips and gatherings from end to end including managing planning, venue selection vendor coordination, attendee communications, agendas, logistics and on-site execution.
  • Serves as trusted point of contact - triaging, screening, and routing requests with sound judgment. Handles confidential and sensitive information with complete discretion.
  • Supports and covers the front desk when needed.
  • Coordinates (draft, edit and proof) executive communications including confidential correspondence.
  • Executes on assigned projects supporting business needs and strategies.
  • Provides support and is a key point of contact for marketing needs including Marco brand clothing, Marco brand products, product shows, internal newsletter, etc.
  • Attends required company and departmental meetings.
  • Acts in accordance with Marco policies and procedures as set forth in the Employee Handbook.
  • Perform other related duties as assigned.

QUALIFICATIONS:
  • Five or more years of experience supporting senior executives (C-suite or VP), ideally several principals at once.
  • Demonstrated event and travel coordination experience including multi-day troupe or incentive travel.

REQUIRED SKILLS:
  • Proficiency with business collaboration tools such as MS Office applications and Outlook.
  • Superior internal and external customer service and communication skills.
  • Demonstrates strong judgment, attention to detail and organization skills.
  • Experience working with confidential information.
  • Strong ability to exercise independent judgment and exercise discretion regarding confidential matters.
  • Self-starter with the ability to perform with little or no direct supervision.
  • Excellent organizational and time/task management skills, the ability to prioritize tasks, work within a defined timeline, and operate with changing priorities.
  • Flexibility for occasional travel and the periodic after-hours needs that come with events and trips.
  • Function collaboratively as part of a fast-paced, client-oriented team.

Pay Range: $68,633-$106,381
