Upskill Specialists is a Fully Remote Company, and you will haveflexible working hours based on your client needs.
Your role and purpose:
As an Executive Function Specialist, you will engage in one-on-one remote coaching with adults with ADHD, ASD, AuDHD, and/or other executive function challenges to strengthen their executive functioning skills. You will evaluate their initial executive function skills, coordinate with their team to ensure a collaborative approach, and guide them through regular sessions, remaining aligned with our 90-day transformation process, while also applying your unique expertise to situations that arise. You'll also facilitate Family and Client Team Meetings to celebrate progress, identify new goals, and, when appropriate, determine responsibilities.
Direct Service Responsibilities:
Approximately 85-90% of incumbents' time worked shall be devoted to the Direct Service responsibilities below. Examples of key duties are interpreted as being descriptive and not restrictive in nature.
- Will perform their work as an Adult Executive Function Coach with the client(s) through weekly remote meetings.
- Will work with both private pay clients and Self Determination Program (SDP) clients, adapting approaches and processes as needed based on specific case requirements and guidelines.
- Can maintain a minimum caseload of 5 clients.
- Can hold an initial client introduction session with a potential client.
- Can review, understand, and analyze assessment documents and use such documents to identify a client's executive function challenges and their underlying issues.
- Follows the 3 phases of coaching as identified by leadership and presented in the company's workspace (Notion).
- Assesses clients, sets goals, and creates an action plan. Documents goals and progress for each weekly meeting in Tutorbird under session notes. Shares notes and progress with the client's team as requested.
- Works directly with the assigned clients of UpSkill Specialists to provide a 90-day coaching package of 13 sessions. Sessions are held weekly.
- Uses UpSkill Specialists' systems to calendar their meetings with the client, log attendance for sessions, and write notes after each session. The systems can include: Tutorbird, Google Meet, Zoom, Google Drive, and Google Calendar.
- Follows Tutorbird protocol for scheduling weekly sessions, rescheduling sessions if the client or coach needs to reschedule, and taking attendance.
- Is paid for 1 hour of service for each session. The session includes:
- 45 minutes of 1:1 virtual executive function coaching with the clients
- 15 minutes for preparation, writing notes, and communicating with the client and team.
- Completes notes and prep work for sessions within the allocated 15 minutes of time per session.
- Writes neat and detailed notes in Tutorbird for every session, in such a way that another coach could support the client, if needed.
- Maintains clear and consistent communication with clients and families, including text messages, emails, phone calls, and online video meetings.
- Communicate/update leadership as requested regarding services, progress of goals, and any issues that may come up.
- Regularly meets and communicates with client stakeholders to ensure a team approach in developing executive function skills.
- Is a responsive and timely communicator, ensuring a response to client or team inquiries within 36 hours (not including weekends or holidays).
- Checks in with the client at 8 weeks to see if they want to renew their coaching package.
- Maintains a 75% or higher billable-to-non-billable work ratio.
- Makes an effort to obtain a positive review from their client or stakeholder during or within 30 days of completing the client's 90-day program.
- Makes an effort to retain their clients beyond the initial 90-day program if the client continues to benefit from executive function coaching
- Performs other related duties as assigned or requested by members of the leadership team.
Administrative Duties and Responsibilities:
Approximately 10-15% of the incumbent's time worked shall include the duties below. Examples of these duties are interpreted as being descriptive and not restrictive in nature.
- Reviews new client documents when assigned a new client.
- Attends team meetings and collaborates with leadership and other team members.
- Seeks feedback from leadership as needed to revise approach and strategy with clients.
- Effectively uses Tutor Bird, Notion, and Google Drive for tracking, communication, and client management.
- Develop collegial relationships with outside professionals to promote cross-referrals.
- Coordinates with clients and team members enrolled in SDP funding by ensuring regular Client Team Meetings are occurring.
- Ability to take on additional responsibilities in the absence of other coaches or as requested by leadership.
- Performs other duties as assigned or requested.
Knowledge of:
Strong understanding and application of current research and findings in ADHD, ASD, executive functioning, learning disabilities, gifted learning, special education, and best practices for providing support in these areas.
Ability to:
- Ability and desire to work as part of a professional interdisciplinary team.
- Work on evenings and weekends to be responsive to client availability.
- Excellent time management and organizational skills.
- Possess excellent customer service, interpersonal, and written communication skills that reflect sensitivity to their audience (parents, school staff, mental health professionals).

Technical Requirements
- Ability to use computers, including video communication platforms such as Zoom and Google Meet.
- General knowledge of Google Suite (Gmail, Docs, Sheets, Forms, etc.)
- Proficient in company systems, including TutorBird and Notion.
Physical requirements
Ability to sit for prolonged periods throughout the workday.
Education, certification, and training qualifications
Candidates must meet the minimum degree qualifications as detailed below, or the equivalent. Equivalency decisions are made based on a combination of education and experience that would likely provide the required knowledge and abilities.
Education: Master's degree in the field of Education or Educational Therapy or related field; or the equivalent
Preferred: Completion of a Special Education certification program (or equivalent coursework)
Preferred Experience: A minimum of three years of teaching and/or coaching experience.
Required: Completion of required internal training as assigned by leadership.
