Position Summaryย 

This position will report to the central office in Arlington, VA 2 days a week, and will report to Baltimore, MD occasionally throughout the year. Candidates should reside in the DMV area.

The Administrative Assistant provides administrative and operational support that helps advance our mission of expanding access to international education and study abroad opportunities. This role supports the day-to-day operations of the organization while contributing to a collaborative, inclusive, and mission-driven workplace culture.ย 

Working closely with the Executive Assistant to the President and Board Operations, the Administrative Assistant supports scheduling,ย logistics, office administration, and governance-related activities that help ensure the organizationย operatesย effectively and efficiently. This is an excellent entry-level opportunity for someone interested in nonprofit administration, higher education, international education, or operations management.ย

Principal Accountabilitiesย 

Administrative Supportย 

  • Coordinate meetings, scheduling, andย logisticsย across teams in support of organizational priorities and collaborationย ย 

  • Assistย with travel arrangements, including flights, hotels, meals, and expense submissionsย ย 

  • Prepare and organize meeting materials, presentations, and documentsย ย 

  • Draft routine correspondence andย assistย with internal communicationsย ย 

  • Take notes during meetings and help track follow-up items and action stepsย ย 

  • Update and manage tasks in systems such as Asanaย ย 

  • Coordinate Council of Advisors meetingย logistics, communications, records, and Boardable administrationย ย 

  • Support governance and Council operations activitiesย ย 

Office Operationsย 

  • Support daily operations of the Central Office to helpย maintainย a welcoming, organized, and inclusive work environmentย ย 

  • Order office supplies andย maintainย inventory levelsย ย 

  • Receive, sort, and distribute mail;ย assistย with scanning and document handling forย Accountingย ย 

  • Help process incoming payments/checks and route appropriatelyย ย 

  • Assistย with onboardingย logisticsย and staff event coordination in partnership with HRย ย 

  • Maintain shared office spaces, including kitchen andย common areasย ย 

  • Coordinate routine needs with building management and vendors and communicate updates to staffย ย 

  • Arrange for basic office equipment maintenance as neededย ย 

  • Maintain and organize shared files in SharePointย ย 

Coordination & Event Supportย 

  • Assistย with conference registrations, travel coordination, and membership renewalsย 

  • Provide logistical support for internal meetings, events, and team gatheringsย ย 

  • Support coordination of organizational initiatives and activities that foster employee engagement and collaborationย ย 

Required Qualificationsย 

Educationย 

  • 2โ€“4-year degree preferred, or equivalent combination of education and experienceย ย 

Experienceย 

  • 2ย years of administrative, internship, customer service, or office support experienceย ย 

Skills & Qualitiesย 

  • Strong written and verbal communication skillsย ย 

  • Highly organized with strong attention to detailย ย 

  • Ability to manage multiple tasks and prioritize effectivelyย ย
