Position Overview:

We are seeking an experienced Executive Assistant with a minimum of 3 years of experience supporting senior executives in fast-paced or high-growth environments. The ideal candidate will be responsible for providing strategic administrative and operational support to the leadership team, helping streamline communications, coordinate key initiatives, and ensure day-to-day efficiency across executive operations. This role requires exceptional organizational skills, sound judgment, and the ability to anticipate needs in a dynamic, AI-driven life sciences organization. The Executive Assistant will report directly to our COO.

Key Responsibilities:

  • Manage executive calendars, scheduling, and meeting coordination across multiple time zones.
  • Serve as a liaison between executives, internal teams, and external partners to maintain efficient communication.
  • Prepare presentations, reports, agendas, and correspondence for client and board meetings.
  • Support project tracking, follow-ups, and deliverables tied to strategic initiatives.
  • Handle travel arrangements, expense reports, and vendor coordination.
  • Maintain confidentiality of sensitive business information and documents.
  • Assist with special projects, company events, and communications as needed in a startup environment.


Prerequisites:

  • Experience supporting C-suite or senior leadership in a fast-paced setting.
  • Background in marketing, health-tech, pharmaceutical services, or technology startups preferred.
  • Strong understanding of remote collaboration tools (Google Workspace, Slack, Zoom, Asana, or similar).
  • We value experience with pharmaceutical service providers.

Hard Skills:

  • Mastery of calendar and email management tools.
  • Proficiency in document creation, spreadsheet management, and data tracking.
  • Strong PowerPoint or slide design skills for executive presentations.
