Job description

The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO, Board of Directors, and Executive Team and managing the organization's office operations, including working remotely with the Washington State Opportunity Scholarship (WSOS) team. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Broward Children's Center (BCC) is dedicated to transforming lives by providing specialized care to children and young adults who are medically fragile and developmentally disabled. Our comprehensive services range from 24/7 skilled nursing at our pediatric care facility to developmental education programs, therapeutic support, and family-centered services like respite care, social services, and in-home health support.
With unique programs including ABA therapy, developmental preschools, K-12, Home Health and PPEC outpatient care, BCC ensures each individual receives tailored support to thrive. Qualifications

Education & Experience
  • Bachelor's degree preferred (Business Administration, Communications, or related field)
  • Minimum five (5) years of experience in executive-level support, or an equivalent combination of education and experience
  • Proven experience in high-level administrative work, board meeting support, and calendar management
  • Experience in healthcare, nonprofit, or regulated industries preferred

Skills & Competencies
  • Exceptional organizational skills-must be highly structured and detail-oriented, capable of managing multiple priorities with precision
  • Excellent note-taking and transcription abilities-must be able to capture and summarize discussions accurately
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite, Google Workspace, and project management tools
  • Ability to work independently with minimal supervision while exercising sound judgment
  • Strong confidentiality and discretion in handling sensitive information
  • Problem-solving and critical-thinking skills-ability to anticipate issues and find solutions proactively

Essential Duties & Responsibilities
Duties include, but are not limited to:
  • Manage and maintain the CEO's schedule, including coordinating appointments, meetings, and travel arrangements
  • Ensure seamless communication between the CEO and all internal/external stakeholders
  • Serve as the primary liaison between the CEO and staff, board members, and community partners
  • Prepare and distribute meeting agendas, reports, and briefing materials for the CEO
  • Record and transcribe detailed and accurate meeting notes for all board meetings and any meetings involving the CEO
  • Distribute meeting minutes in a timely manner and track follow-up actions
  • Maintain electronic and physical records of all board documents, reports, and key organizational policies
  • Assist with special projects assigned by the CEO, ensuring timely completion
  • Conduct research and compile data to support decision-making
  • Assist in policy development and grant writing as needed
  • Coordinate logistics for company-wide events, retreats, and executive functions
  • Handle confidential correspondence, emails, and phone calls on behalf of the CEO
  • Monitor incoming mail, faxes, and other communications, ensuring prompt response
  • Facilitate IT and operational support needs in coordination with the IT department
  • Provide facility tours for visitors and key stakeholders as needed
  • Serve as a resource for executive-level staff and provide administrative support as needed
  • Assist in legislative matters and advocacy efforts for the organization
  • Ensure smooth day-to-day operations within the executive office by proactively addressing potential issues
