Job Description:

We are seeking an experienced Executive Assistant to provide high-level support to a leadership team while also helping drive the daily operations and culture of the office. This is a dynamic role that goes beyond traditional administrative support — the ideal candidate will be a proactive problem-solver who enjoys building processes, managing priorities, and serving as a trusted partner to executives.

This position is ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and is excited about the opportunity to grow alongside an evolving organization.

Key Responsibilities:

  • Provide executive-level administrative support to multiple senior leaders, including calendar management, meeting coordination, travel arrangements, and expense reporting.
  • Manage complex scheduling across multiple executives, priorities, and time zones.
  • Prepare meeting materials, presentations, agendas, and follow-up documentation.
  • Support daily office operations, including vendors, supplies, facilities coordination, and workplace organization.
  • Assist with company events, team meetings, celebrations, and culture-building initiatives.
  • Maintain reports, trackers, and internal documentation using Microsoft Excel, PowerPoint, and other tools.
  • Coordinate cross-functional projects and ensure teams stay aligned on deadlines and priorities.
  • Identify opportunities to improve processes, create structure, and enhance office efficiency.
  • Serve as a reliable point of contact for internal and external stakeholders.

Qualifications:

  • 3+ years of experience as an Executive Assistant, Senior Administrative Assistant, Office Manager, or similar role.
  • Experience supporting multiple executives in a fast-paced environment.
  • Prior experience managing complex calendars, scheduling conflicts, and executive priorities.
  • Strong background with expense reporting, travel coordination, and administrative operations.
  • Experience supporting office management responsibilities, including vendors, supplies, and workplace needs.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Excel, PowerPoint, Word, Teams, and SharePoint.
  • Strong organizational skills with the ability to manage multiple priorities independently.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Comfortable working in an evolving environment where processes and responsibilities may continue to grow.

Additional Details:

  • This role requires candidates to work fully on-site, Monday-Friday.
  • This position will support multiple members of the leadership team and the Chicago office.
  • Ideal candidates will be proactive, adaptable, and excited to take ownership of the role.

Perks:

  • Opportunity to join a growing organization with strong potential for long-term employment.
  • Collaborative and energetic workplace culture.
  • Ability to make a meaningful impact by building processes and improving operations.
  • Opportunities for expanded responsibilities and professional growth.
  • Fun office environment with company perks and product benefits.
