Job description

Civil Science is seeking a highly organized, professional, and proactive Executive Assistant, Strategy & Operations to support the President and Executive Leadership Team. This role serves as a strategic and operational partner, helping drive alignment, coordination, execution, and follow-through across key organizational priorities in a fast-paced environment.

The ideal candidate is an exceptional communicator and problem solver who can manage competing priorities with discretion, professionalism, and attention to detail. In addition to providing high-level executive support, this individual will help coordinate strategic initiatives, manage executive communications, support Board activities, and drive operational efficiency across the organization.

Key Responsibilities

  • Provide executive-level administrative and operational support to the President and Executive Team
  • Manage complex calendars, travel arrangements, meetings, and executive priorities
  • Drive follow-through on executive priorities, action items, and strategic initiatives across teams
  • Track strategic initiatives, action items, and cross-functional projects to ensure timely execution
  • Coordinate Board of Directors and leadership meetings, including agendas, materials, and follow-up actions
  • Participate in leadership meetings, document priorities and action items, and support organizational follow-through
  • Conduct research, analysis, and synthesis of information to inform decision-making and planning
  • Prepare executive briefings, reports, presentations, and decision-support materials
  • Prepare presentations, reports, correspondence, and executive communications
  • Serve as a liaison between executive leadership, internal teams, Board members, and external stakeholders
  • Support office operations, event coordination, and organizational initiatives
  • Support leadership events, retreats, and initiatives that strengthen alignment, communication, and culture
  • Maintain confidentiality and exercise sound judgment when handling sensitive information

Required Qualifications

  • Bachelor's degree in Business Administration, Communications, Public Administration, or engineering-related field
  • 5+ years of experience supporting executive leadership in a fast-paced professional environment
  • Strong organizational, project coordination, and prioritization skills
  • Excellent written and verbal communication abilities
  • High level of professionalism, discretion, and judgment in handling sensitive and confidential information.
  • Demonstrated ability to manage high-priority initiatives and work effectively across multiple stakeholders
  • Strong technology proficiency, including Microsoft Office tools and comfort working in a digital-first environment; experience with tools such as Asana, Canva, enterprise chat platforms, PowerPoint, and Zoom is helpful.

Preferred Qualifications

  • Experience supporting C-suite executives, Presidents, or Boards of Directors
  • Background in operations, office management, or cross-functional project coordination
  • Experience with budgeting, expense management, or financial coordination
  • Experience in engineering, consulting, or other professional services environments
