Job description

A-Core: Concrete Specialists is a growing company of people who make an effort to do their very best every day. We have been hiring and developing many of the concrete industry's most highly skilled and safety conscious individuals for 50 years. A-Core was founded from one man's desire to make enough money to feed his family. It has now grown to 15 offices in 10 states with over 350 employees and growing.

We are seeking a highly organized and proactive Corporate & Executive Administrator to oversee key corporate administrative functions at A-Core Concrete Specialists, along with supporting the executive team and company events.

This role combines corporate administration, executive and leadership team assistance, and event coordination, requiring strong attention to detail, the ability to manage multiple priorities, and a high level of professionalism and discretion.

What You Will Be Doing

Corporate Administration

  • Manage certain vendor corporate accounts (i.e., car rentals and hotels)
  • Coordinate with external partners (i.e., legal and accounting)
  • Manage company-sponsored entertainment and ticket programs
  • Maintain corporate records, organizational charts, and documentation
  • Oversee licensing, prequalification, and legal filing processes
  • Assist with planning and executing company events (company parties, trainings, retreats, etc.)
  • Coordinate employee recognition programs and gifts
  • Organize and lead company charity initiatives
  • Provide general office support, as needed

Executive and Leadership Team Support

  • Manage CEO email communications, along with executive team calendars, and scheduling
  • Coordinate leadership meetings, including agendas, materials, and follow-ups
  • Prepare reports, presentations, and internal communications
  • Manage executive expense reporting and tracking
  • Coordinate travel arrangements for leadership and company retreats
  • Support executive and leadership special projects
  • Support administration of property and related business entities
  • Run errands and perform duties on behalf of the executive team, as needed

Qualifications

  • 5+ years of experience in executive support, corporate administration, or similar roles, preferably within mid-sized or growing organizations
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Excellent written and verbal communication skills
  • Must have a valid driver's license and be able to drive for company errands
  • High level of professionalism, discretion, and problem-solving ability
  • Active notary public is preferred
  • Proficiency in Microsoft Office, Canva, Docusign and related tools
  • Agree to pre-employment background check
