Job description

POSITION SUMMARY
The Executive Assistant provides administrative and secretarial support to the Senior VP of Flight Operations, and other executives in the Flight Department. Based in the Global Command Center, Cleveland, Ohio.
DUTIES & RESPONSIBILITIES

  • Assists the Flight Department executives in the management of his/her respective schedules utilizing MS Outlook including planning and organizing events, meetings and travel.
  • This position will provide administrative support to the Flight Department executives as needed.
  • Handles telephone calls for the Senior VP from both internal and external customers.
  • Provide administrative support to the Flight Department executives in a variety of capacities including:
    • Filing, copy projects and mailings
    • Meeting preparation
    • Processing of letters, correspondence, memos, policies and procedures
    • Report generation
    • Invoice and expense reporting
    • Database management
    • Travel Coordination
  • Demonstrate the ability to handle multiple projects/tasks with little or no supervision
  • Aid in preparing presentation materials for Pilot Calls, Listening Tours, and other Flight Department events
EDUCATION, EXPERIENCE
  • High School Diploma or equivalent required. Some college preferred.
  • 2 year or more administrative experience required
  • Prior executive assistant experience strongly required
REQUIRED SKILLS & QUALIFICATIONS
  • Must possess the legal ability to work in the United States
  • Ability to interface well with all departments within the company and to represent the respective executive in a highly professional manner
  • Demonstrate the ability to communicate effectively and professionally with customers and external contacts to the organization
  • Self-motivated, exercising initiative, lead by example, actively contributes to team successes
  • Demonstrated judgment of planning, prioritizing, and organizing diversified workloads
  • Outstanding organizational skills and the ability to multi-task, able to adapt to rapidly changing priorities.
  • Possesses a high degree of proficiency with MS Office products including Word, Excel, Access, Power Point and Outlook.
  • Must be able to maintain the highest level of confidentiality. Ability to handle sensitive material concerning the organization and the executive's role within the organization.
  • Excellent punctuation, spelling, and grammar
  • Exceptional attention to detail
  • Ability to work after hours, weekends if needed
PHYSICAL REQUIREMENTS
  • Physical demands may require a considerable amount of time sitting and typing/keyboarding using a computer (i.e., keyboard, mouse, and monitor) along with various office equipment
  • Physical demands may include walking, carrying, reaching, standing, and stooping
  • May require occasional lifting/lowering, pushing, or pulling up to 25 pounds
