Job description

Job Title: Event Coordinator  Location-Type: Remote (Tri-State Area) Start Date: ASAP Duration: Sept-Nov  Compensation Range: $30-35/hr W2 Hours: 40 hrs/week, EST hours Benefits: Eligible for Health, Dental, Vision, 401K Must be authorized to work in the U.S. This position is not eligible for sponsorship.

Ticketing Registration

  • Be included on client communications and serve as the liaison with internal teams for all ticket additions, substitutions, cancellations, and transfers, including maintaining the internal master tracker across clients.
  • Coordinate discounted and additional ticket purchases as needed.
  • Troubleshoot registration issues directly with the internal registration team.
  • Track VIPs, sponsor executives, and reserved seating requests.
  • Ensure all sponsor guests are correctly registered ahead of events.
  • Manage last-minute ticket changes and troubleshoot registration issues during event week.
  • Manage the client complimentary ticket process in coordination with the registration team.

Custom Event Invitation Guest List Management

  • Maintain the master invitation and RSVP tracker for each custom event.
  • Add new invitees as clients and internal teams provide names.
  • Coordinate with internal audience development teams on contact information and invitee research.
  • Draft and manage invitations, follow-ups, reminders, "Know Before You Go" communications, and other attendee communications, including managing the proofreading, copy-editing, and approval process.
  • Track invitation statuses, including invited, confirmed, declined, and no response.
  • Manage registration lists and reconcile them against invitation lists.
  • Draft and compile regular RSVP updates for clients and internal teams.
  • Flag when additional invitations or outreach may be needed to meet attendance goals.
  • Prepare final guest lists for production, security, and check-in teams.

Production Event Logistics Support

  • Partner with Activation Managers to coordinate and track logistical information from sponsors, including onsite contacts, staffing, shipping, and arrival times.
  • Build and maintain event-week contact sheets and reference documents.
  • Maintain sponsor onsite contact lists and create face sheets for key client contacts and executives.
  • Support onsite facilitated networking and conversations, including monitoring check-in and flagging when specific guests arrive.
  • Serve as a dedicated point person at registration throughout event days to troubleshoot sponsor registration issues, last-minute changes, and check-in needs in real time.

Qualifications: 

  • 1–3 years of experience in event coordination, event production, hospitality, marketing operations or administrative support
  • Experience managing ticketing, registration, RSVPs or guest lists
  • Experience maintaining detailed trackers and handling large amounts of changing information
  • Strong Excel or Google Sheets skills
  • Strong written communication, proofreading and copy-editing skills
  • Experience coordinating across multiple internal teams and stakeholders
  • Comfortable handling VIP, executive and confidential guest information
  • Able to work onsite November 17–18 and three evenings for client dinners
