Job description

We are seeking an Executive Events Coordinator with strong experience in corporate events, executive events, field marketing, event operations, and project coordination. The ideal candidate will be highly organized, detail-oriented, proactive, and customer-focused, with the ability to manage multiple high-visibility programs and deliver white-glove event experiences for executive audiences.

The candidate should have strong communication, organizational, project management, stakeholder management, and event logistics skills. This role will support the planning and execution of creative, scalable, and highly visible executive programs, as well as selected virtual and onsite events, while enabling business partners to deliver impactful event experiences.

Key Responsibilities
  • Manage multiple executive event projects simultaneously, ensuring timely follow-through, clear communication, and successful delivery.
  • Provide dayโ€‘toโ€‘day support for executive events, helping exceed program targets and deliver an exceptional attendee experience.
  • Coordinate white-glove event logistics, ensuring smooth operations and detailโ€‘oriented execution across all event activities.
  • Build and maintain strong relationships with crossโ€‘functional stakeholders, business partners, internal teams, and external partners.
  • Support the planning and execution of onsite and virtual events, including event logistics, coordination, and operational requirements.
  • Assist with the development and execution of creative and highly visible executive programs.
  • Analyze event data, metrics, and performance results to identify trends, opportunities, and recommendations for continuous improvement.
  • Develop and document scalable, repeatable event processes and workflows to improve operational efficiency.
  • Identify opportunities to streamline event execution and improve overall program effectiveness.
  • Bring creative ideas and innovative approaches to executive events and attendee experiences.
  • Maintain accurate project documentation, timelines, trackers, and eventโ€‘related information.
  • Coordinate multiple priorities and dependencies while maintaining a high level of attention to detail.
  • Provide exceptional customer service and stakeholder support throughout the event lifecycle.
  • Support event travel and onsite execution when required.
Required Qualifications
  • 2+ years of experience in corporate events, executive events, field marketing events, event coordination, or a related field.
  • Strong event planning, project coordination, and event operations experience.
  • Proven ability to manage multiple projects, priorities, and deadlines simultaneously.
  • Exceptional organizational and attentionโ€‘toโ€‘detail skills.
  • Strong written and verbal communication skills.
  • Demonstrated ability to provide exceptional customer service to internal and external stakeholders.
  • Strong project management and followโ€‘through capabilities.
  • Experience coordinating highโ€‘visibility events and executiveโ€‘level programs.
  • Ability to work independently, take initiative, and operate effectively in a fastโ€‘paced, highโ€‘growth environment.
  • Strong analytical and problemโ€‘solving skills with a metricsโ€‘driven mindset.
  • Experience creating and maintaining complex spreadsheets and event trackers.
  • Proficiency with Google Workspace, including Google Docs, Sheets, Slides, and Gmail.
  • Strong proficiency with Microsoft Excel, including managing complex spreadsheets.
  • Comfortable working in a Mac environment.
  • Ability and willingness to travel for events when required.
