About the Role

The Executive Assistant provides strategic administrative support to senior leadership, ensuring effective coordination across schedules, communications, travel, and key operational priorities. This role requires sound judgment, discretion, and the ability to manage complex, shifting demands in a fastโ€‘paced executive environment while maintaining a high standard of professionalism and execution.

This role supports multiple members of the PS Executive Committee.


Salary Range: $75,000 - $90,000 Annually, Exempt
Job Type/Work Location: Full-time, onsite, PS HQ (El Segundo, CA)


Responsibilities & Expectationsโ€ฏ

  • Act as a primary point of contact for administrative coordination across executives, employees, and external partners.
  • Manage complex executive calendars, including conflict resolution, prioritization, and proactive scheduling adjustments.
  • Ensure all meetings are fully coordinated, including logistics, materials, dial-ins, and follow-up on action items.
  • Coordinate end-to-end business travel logistics, including flights, hotels, ground transportation, meals, and itineraries.
  • Manage executive inboxes by triaging messages and drafting responses when appropriate.
  • Prepare and format communications such as memos, emails, presentations, and reports.
  • Coordinate office and meeting logistics, including conference room bookings, catering, set-up, and guest experience.
  • Support day-to-day office operations and ad hoc administrative needs.
  • Prepare expense reports, process invoices, and track payments.
  • Take full ownership of assigned tasks and projects with minimal oversight.
  • Basic personal assistance responsibilities such as scheduling of personal appointments and reservations, coordination of personal travel logistics & itineraries, simple errands, online orders/deliveries and personal events and/or reservations planning.
  • Perform other duties as assigned by leadership.


Requirements / Qualification

  • 4-6+ years of administrative experience supporting senior executives
  • Exceptional communication skills
  • Ability to prioritize multiple projects quickly and accurately in a fast-paced environment with evolving priorities and last-minute changes
  • Strong organizational skills, attention to detail, and execution excellence
  • Advanced presentation and document formatting skills with a keen eye for detail and aesthetically polished output; experience using tools in Microsoft Office & Canva
  • Proven ability to build strong cross-functional relationships
  • Experience designing or improving administrative workflows
  • High level of discretion and emotional intelligence

Salary range $75,000 - $90,000/annually. This is a full-time Exempt role.
