Job description

The Executive Assistant will assist the Integra Life Sciences (PrecisionQ) sales team with administrative support requests working with internal and external stakeholders. The Executive Assistant will assist with administrative tasks such as Salesforce documentation and management, process improvement tasks and content editing/support for sales support documents such as Scoping Documents and PowerPoint presentations. This is a fully in office position located in West Palm Beach, FL.

Responsibilities:

  • Support Sales on daily ad-hoc requests: Requests may include but will not be limited to the aggregation of content from various internal stakeholders, documentation within SalesForce.com, follow-up requests internally/externally.
  • Conduct analysis to understand market opportunity and potential to demonstrate value customer on services provided.
  • Review and stay up-to-date on new oncology therapeutics to identify potential market opportunities and obtain familiarity with common cancer types to understand patient journey and customer needs.
  • Support sales lead with client follow-up and procurement/SOW submission stage  .
  • Assist sales team with creating content and editing (scoping documents, presentations, etc.).
  • Support inside sales functions including coordinating schedules and meetings with internal stakeholders such as Legal, HR, Finance, Operations, Analytics and Product Teams.
  • Support and manage client documents such as MSA, NDA, RFP, etc.
  • Salesforce management and reporting support.
  • Provide weekly to monthly KPI reports and progression presentations to senior leadership.
  • Drive standardization and automation of current processes, meeting preparation and follow-up and documentation in Salesforce.com to improve effectiveness and efficiency.
  • Continually works to identify new opportunities to improve existing processes and to provide further insight into sales pipeline and forecast for senior sales leadership team.
  • Supports Ad-Hoc data analysis requests from senior sales leadership team as needed.
  • Responsible for managing calendar, scheduling meetings for VP of Strategic Partnerships and other team members as directed.
  • Manage expense report, travel arrangements, coordinating meetings at conferences and coordinating live meetings with clients.
  • Support the leadership to manage Salesforce and SharePoint documents and reporting.
  • Support creating and managing content for social media accounts.
  • Bachelor’s Degree in Business, Marketing, Communications, or a related field preferred. Equivalent work experience will be considered in lieu of degree.
  • 2+ years of experience in sales, with proven experience with SOWs and internal sales processes preferred.
  • Demonstrated experience within the healthcare sector is required.
  • Strong MS Office and Salesforce.com preferred.
  • Exceptional analytical, organization and prioritization skills.
  • Ability to complete tasks while maintaining a positive customer experience (internal and external stakeholders).
  • Excellent verbal and written communication skills.
  • Highly motivated individual that can work independently, as well as participate on team projects.
  • Ability to handle multiple tasks simultaneously and complete assignments within aggressive time constraints while still delivering high quality.  
  • Ability to thrive in a fast-paced and constantly changing environment.
  • Must be available for full-time, in-office work in West Palm Beach, FL, Monday–Friday, 9 AM–5 PM.
  • 20% travel required for business needs.
  • Flexibility to work from home as needed to accommodate client and business demands.
  • Availability for after-hours and weekend work when required.
