ABOUT THE POSITION:

POSITION SUMMARY:

The Executive Assistant I is highly organized, detail-oriented, professional, and capable of maintaining diplomacy and confidentiality, while managing multiple priorities. This position provides administrative support for executive-level leaders. The Executive Assistant I is responsible for scheduling meetings, preparing agendas and collateral materials, and managing meeting logistics. This position reports to the Chief Experience Officer and provides excellent service and support to team members and customers while demonstrating the Company's values and supporting the mission.

POSITION DUTIES & RESPONSIBILITIES:

  • Provide administrative support for executive-level leaders to include coordinating executive calendars
  • Coordinate and attend meetings, prepare agendas and meeting collateral, manage logistics to include meeting invitations, conference room reservations, technology needs, catering, room preparation, etc.
  • Assist with preparation of Board and Committee meeting materials
  • Assist with development and dissemination of pertinent internal and external correspondence. Includes minor coordination communication as well as more organized and regular communication. Utilizes email, Teams, hard mail, and verbal methods, as directed.
  • Greet guests, provide phone support, draft correspondence, answer non-routine correspondence and assemble highly confidential and sensitive information
  • Gather information, develop and distribute various reports and dashboards, (daily/weekly/monthly/annual) to address current and emerging business needs
  • Represent the Chief Financial Officer and Chief Experience Officer with cross-departmental initiatives
  • Track action items and facilitate timely follow-thru on commitments
  • Create and coordinate internal and external communications to ensure relevant, appropriate, and timely information is received
  • Develop and maintain timely content for the business units' electronic collaboration and communication channels (i.e. SharePoint, Company Intranet, etc.)
  • Assist with invoice review and approval
  • Review and distribute electronic and hard copy mail
  • Plan, prioritize and organize a diversified workload
  • Recommend changes in office practices or procedures as needed
  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, and establishing personal networks
  • Attend training as requested
  • Adhere to compliance with all federal bank regulations and laws, including those for consumer protection and the Bank Secrecy Act/Anti-Money Laundering Program
  • Participate in outside community activities as required
  • Perform other duties as assigned

REQUIRED QUALIFICATIONS:

  • High School diploma or GED
  • 3 years of experience supporting executive-level leadership
  • Previous banking experience preferred
  • Proficient with Microsoft Office to include Excel, SharePoint, and PowerPoint skills
  • Power BI and Canva experience preferred
  • Strong analytical, critical thinking and problem-solving skills
  • Ability to build and modify custom reports and calculated fields
  • Ability to work on multiple projects simultaneously while accomplishing daily tasks
  • Effective verbal and written communication skills
  • Excellent interpersonal skills
