Job description

Basalite Building Products, LLC is one of the largest manufacturers of concrete masonry products in the Western United States. Product lines include structural block, interlocking paving stones, engineered wall systems, retaining walls, ornamental and garden products, and a full range of sack goods. We are a proud member of the Pacific Coast Building Products Family of Companies.

SALARY RANGE $85K - $95K, DOE 

POSITION SUMMARY: Under the supervision of the President/CEO of Basalite, this position's primary focus is to relieve the executive of any administrative type functions, and performs other related duties as required.  This position has a broad range of complex responsibilities involving confidential or technical information and may support other senior managers in addition to the subsidiary executives and is responsible for supporting and demonstrating the Core Values of Integrity, Safety, Respect, Customer Focus, Quality, Innovation and Financial Success. Performs other related duties as assigned.

SUPERVISION RECEIVED: General 

ESSENTIAL DUTIES AND RESPONSIBILITIES:  include the following. Other duties may be assigned. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Responsible for providing administrative support and performing complex duties, such as analytics, for the subsidiary executives and other senior managers as directed.
  • Manages the Office Administrator and oversees their work.
  • Setting and managing the daily schedules and calendars of company executives, including meetings, travel itineraries and coordinating related arrangements.
  • Booking travel- airfare, hotel, car rental, other reservations as needed.
  • Handling administrative tasks for the company executives.
  • Screens telephone calls and visitors and resolves routine inquiries.
  • Handles details of a confidential nature and performs administrative functions based on the understanding of company philosophies and policies.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities.
  • Routes and verifies all expense reports
  • Arranges for equipment maintenance, mainly locations' computers and printers. 
  • Responsible for all wireless devices throughout all US locations, working directly with Verizon to maintain account.
  • Responsible for all fuel cards throughout all US locations, working directly with Wright Express to maintain account.
  • Plans for and coordinates company social activities including Company Christmas party, Summer event and Adopt-A-Family events, etc.
  • Tracks AFEs including logging and distribution as they arrive, approved, dispersed and copies filed.
  • Serves as the primary point of contact for internal and external parties on all matters pertaining to the subsidiary executives.
  • Compiles and/or consolidate monthly reports.
  • Compiles monthly Board Reports.
  • Assists in ordering promotional items and clothing.
  • Maintains office management duties that include supply ordering, equipment, conference room schedule and meeting preparations.
  • Responsible for all sports ticket disbursement and other related entertainment venues working directly with PCCI to coordinate with sales staff and/or employees.
  • Maintains and reconciles petty cash at the location.
  • Responsible for credit card purchases and coding of the credit card statement.
  • Create and post all purchase orders for the subsidiary office.
  • Other duties as assigned.
  • Abides by all safety rules set forth by company and governmental regulatory agencies and ensure that hazardous conditions are reported and corrected.

 

QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Bachelor's degree in any college discipline or equivalent.
  • Two - five years of general office experience preferred.
  • Ability to effectively write business correspondence, present information and respond appropriately and professionally to questions from groups of managers, customers, co-workers and vendors.
  • Possess a high degree of professionalism and maintain confidentiality
  • Add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
  • Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists.
  • Aptitude to learn and utilize new software and digital tools such as Salesforce, etc.
  • Must be able to operate a personal computer, Apple Iphone and other various standard office machines and equipment necessary to complete duties. 
  • Proficient in Microsoft Office Suite of software, Word, PowerPoint, Excel, Outlook, PowerPoint.
  • Must have a valid Driver's License, clean driving record and reliable transportation.
  • Predictable and Regular attendance is required.

 

PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Frequently required to use hands to finger, handle or feel, reach with hands and arms, talk and listen, stand, walk, and sit.
  • Frequently drive a personal vehicle to run miscellaneous errands for office and/or management.
  • Occasionally required to bend at the waist.  Lift and/or move up to 20+ pounds.
  • Predictable and Regular attendance is required.
  • Occasional night and weekend work when needed.
  • Business overnight travel is required for offsite meetings and events, traveling by car and by airplane.
