You are a motivated and organized individual, who enjoys working in an ever-changing environment and has a keen eye for attention to detail. You provide high-level administrative and office support to an assigned executive(s) and oversee various office operations.
The Impact You Will Have
As an Executive Assistant with QTS, you will have the opportunity to work with our executives across the organization and support them to be successful in their day-to-day roles. For QTS, our Executive Assistants are a crucial element in our Executive Support organization, a key part of our team, and provide more than just administrative support. With customer service in mind, you will not only work with executives, but also their teams in prioritizing meetings, communications, and needs of our executive team.
What You Will Do
  • Manage an executive's calendar, scheduling meetings, and handling complex scheduling needs.

  • Act as a gatekeeper for the executive, filtering calls, emails, and visitors to ensure the executives time is used effectively.

  • Arrange travel itineraries, book flights, hotels, and transportation.

  • Handle incoming and outgoing communication, including emails, phone calls, and correspondence, and act as a point of contact for the executive.

  • Organize and maintain documents, prepare reports, and create presentations.

  • Assist with special projects and tasks, as needed, to support the executives' needs and objectives.

  • Prepare meeting agendas, take minutes as needed, and ensure efficient meeting flow.

What You Will Need to be Successful
  • Five or more years of experience in an administrative function.

  • Strong communication skills.

  • Proficiency with technology including MS Office, email and other relevant programs.

  • Attention to detail and accuracy.

  • Problem solving skills.

  • Ability to operate with discretion and confidentiality.

  • Analytical skills, including the ability to perform basic spreadsheet functions.

  • Experience assisting with event planning, including coordinating logistics and ensuring smooth execution.
