Description
Provide executive and administrative assistant support to the Vice President.
REPORTS TO:Vice President
Job Duties
  • Provide administrative support for the vice president, including greeting visitors, answering and screening calls, sorting mail, scheduling travel, and managing the VP's Outlook calendar.
  • Handle filing, copying, scanning, and faxing documents.
  • Take and distribute minutes for the VP's meetings as requested.
  • Check incoming purchase order requests, invoices, and special assignment agreements for adequate funds.
  • Prepare and distribute memos, spreadsheets, reports, and schedules as requested by the VP.
  • Maintain staff contact lists and departmental spreadsheets and files.
  • Calculate and provide monthly billing statements to Accounting Services.
  • Assist with maintenance of department equipment and submit repair requests as needed.
  • Help with annual budget requests and semester schedule updates.
  • Assist with changes in Colleague and catalog updates (Course Leaf) as requested.
  • Keep records of faculty handbook distribution and printing.
  • Support special events by reserving rooms, ordering meals, and coordinating schedules and agendas.
  • Reserve the Administration Building Conference Room based on availability.
  • Collaborate with the VP on end-of-semester tasks and graduation preparations.
  • Maintain the department webpage and assist with other web pages as needed.
  • Order and maintain supplies for the VP's office.
  • Enter non-sporting events on the TVCC online calendar.
  • Work with IT to post semester schedules on the TVCC website.
  • Perform other duties as assigned by the vice president or supervisory personnel.
  • Maintain confidentiality of information and comply with timekeeping policies.

Qualifications
EDUCATION REQUIRED:
High school diploma or GED PREFERRED:
Associate degree in office-related work
EXPERIENCE REQUIRED:
Three (3) years' work experience in the administrative assistant field required or general office environment;
PREFERRED:
Work experience in an educational environment.
