Position Overview:
The Executive Assistant will provide high-level administrative and operational support to executive leadership while serving as a centralized resource for critical day-to-day responsibilities. This role is designed to streamline processes that are currently dispersed across multiple team members by managing contracts, signature coordination, legal follow-ups, executive scheduling, payroll reporting, and other confidential administrative tasks.
Key Responsibilities
  • Manage and coordinate executive calendars and scheduling
  • Prepare, organize, distribute, and track contracts and signature pages
  • Follow up with attorneys and legal teams regarding pending contracts, documentation, and approvals
  • Coordinate collection of signatures from various parties and ensure timely submission of completed agreements
  • Maintain organized records of executed contracts and related documents
  • Assist with payroll reporting and other confidential administrative reporting tasks
  • Handle sensitive projects and assignments requiring a higher level of discretion and clearance
  • Serve as a central point of contact for executive administrative needs
  • Organizes onsite and offsite meetings
  • Provide general administrative and operational support as needed
  • Purchase and maintain office and company supplies as needed
  • Coordinate travel arrangements
