Job Title: Executive Assistant to VP of Enrollment and Marketing
Classification: Exempt
Reports to: VP of Enrollment and Marketing
Salary Range: $50,000 - $53,000 annually

Position Purpose:
The Executive Assistant to the Vice President of Enrollment and Marketing serves as a trusted administrative partner, providing high-level executive support and coordination for enrollment and marketing initiatives. This position plays a critical role in ensuring the efficient operation of the Vice President's office by managing schedules, communications, projects, budgets, and administrative processes.
The Executive Assistant supports the strategic objectives of Enrollment and Marketing through project coordination, communications support, website administration, event logistics, reporting, and operational support. The position serves as a liaison among internal and external stakeholders, helping to advance recruitment, retention, marketing, and communication efforts while maintaining a high level of professionalism, organization, and confidentiality.
Responsibilities include but are not limited to:
Executive Assistant Duties
  • Provide high-level administrative support to the Vice President of Enrollment and Marketing and departments within the Vice President's areas of responsibility.
  • Manage calendars, appointments, meetings, and scheduling to ensure effective use of the Vice President's time and resources.
  • Coordinate office finances, process invoices, reconcile expenses, and maintain budget-related records.
  • Prepare, edit, and distribute correspondence, reports, presentations, agendas, and meeting materials.
  • Provide administrative support to directors and managers within Enrollment and Marketing as needed.
  • Coordinate travel arrangements, including airline, hotel, rental car reservations, conference registrations, and expense reconciliation.
  • Assist with the planning and coordination of staff retreats, trainings, meetings, and University events.
  • Support the President's Office with Board of Regents meetings, campus presentations, and special projects as assigned.
  • Record meeting notes, track action items, and follow up on assigned tasks to support departmental goals and initiatives.
  • Maintain confidential files, records, and communications with a high degree of discretion, professionalism, and accuracy.
  • Coordinate departmental communications and serve as a liaison between the Vice President's office and University stakeholders.
  • Assist with budget tracking, purchasing requests, contract routing, and departmental administrative processes.
  • Maintain office procedures, records, and documentation to promote efficiency and consistency across departments.
Enrollment and Marketing Duties
  • Provide administrative and project management support for enrollment and marketing initiatives.
  • Coordinate marketing projects and communications with external vendors, agencies, and partners.
  • Assist in the execution of University communications campaigns, recruitment communications, and marketing initiatives.
  • Provide administrative support for website updates and content management as assigned.
  • Maintain project timelines, calendars, and task tracking for enrollment and marketing campaigns.
  • Coordinate logistics for recruitment events, district and national AG events, open houses, campus visits, and enrollment-related activities.
  • Compile, organize, and distribute enrollment and marketing reports, data, and presentation materials.
  • Support CRM, communication, and data management processes as assigned.
  • Assist with the development and distribution of promotional materials and recruitment resources.
  • Support cross-functional projects involving Admissions, Marketing, Student Financial Services, and Student Affairs.
  • Monitor project deliverables and ensure timely completion of assigned tasks and initiatives.
  • Perform other enrollment, marketing, and operational support duties as assigned.
Job Qualifications:
Minimum Education and Experience
  • Progressive administrative experience required.
  • Bachelor degree preferred.
  • Previous Marketing, Enrollment or Higher Education experience a plus.
Knowledge, Skills, and Abilities
  • Exceptional attention to detail and high degree of accuracy.
  • Ability to learn principles and practices of Marketing and Enrollment functions.
  • Working knowledge of MS Office
  • Confident and accurate verbal and written communication skills
  • Excellent customer service skills
  • Determination in problem solving.
