Position Overview

We are looking for a highly organized and dependable Executive Assistant to support the Chief Operating Officer. This position is an in-office role and relocation will not be provided.

This role plays an important part in helping leadership stay organized, ensuring meetings are well coordinated, and making sure priorities and commitments stay on track. The Executive Assistant helps bring structure and follow-through to daily executive operations while supporting communication and coordination across teams.

This position is ideal for someone who enjoys managing priorities, keeping work organized, and helping important initiatives move forward smoothly.

Essential Function and Responsibilities
  • Executive Calendar & Priority Management: Manage and prioritize the President's calendar to ensure alignment with operational priorities and strategic initiatives. Coordinate meetings, travel schedules, and leadership engagements while protecting time for high-impact work. Ensure meetings are properly scheduled, organized, and prepared in advance.
  • Commitment Tracking & Follow-Through: Maintain a structured commitment log capturing action items, deadlines, and responsibilities emerging from leadership meetings. Track progress and follow up with internal stakeholders to ensure commitments are completed on schedule.
  • Executive Coordination & Operational Support: Provide coordination support across key leadership initiatives and operational priorities. Help ensure cross-functional communication between operations, project management, and leadership teams remain organized and aligned.
  • Business Integration & Initiative Tracking: Support leadership efforts related to the integration of newly acquired business operations in Houston. Assist with tracking milestones, monitoring progress on strategic initiatives, and maintaining visibility across multiple workstreams.
  • Executive Reporting & Meeting Preparation: Assist with preparation of leadership meeting agendas, dashboards, and reporting summaries. Capture action items, decisions, and next steps from executive meetings and distribute follow-up communications to ensure accountability and clarity.
  • Communication & Information Flow: Support clear and organized communication between the President, leadership team, and operational partners. Assist with drafting internal communications, organizing updates, and ensuring important information flows efficiently across teams.
  • Organizational Discipline & Administrative Leadership: Establish organized systems for documentation, tracking, and operational follow-up. Maintain structured files, meeting notes, and initiativetrackers to ensure leadership priorities remain visible and progressing.
  • Travel Requirements While this position is primarily based in Phoenix, occasional travel may be required to support leadership meetings, strategic initiatives, and integration activities across division locations. Travel frequency will vary based on business needs.
  • Performs related duties within the scope of the role and level of responsibility as needed to support business operations.
Skills and Qualifications
  • Minimum 5+ years of experience supporting senior leaders or executives in a fast-paced business environment.
  • High school diploma or equivalent required.
  • Additional administrative, operational, or executive support experience may substitute for formal education.
  • Strong organizational, planning, and time management skills.
  • Demonstrated ability to manage multiple priorities simultaneously.
  • High level of professionalism and discretion when working with senior leadership.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to maintain organized systems.
  • Proficiency with scheduling tools, spreadsheets, and digital collaboration platforms.
