Job description

We are looking for an experienced Executive Assistant to provide high-level support to the Office of the President in Atlanta, Georgia. This fully onsite contract-to-permanent opportunity is ideal for a candidate with relevant experience who thrives in a fast-moving environment and can keep executive priorities organized, on schedule, and well supported. The role calls for excellent judgment, strong communication skills, and the ability to manage confidential matters with care while helping leadership stay focused on strategic goals.
Responsibilities:
• Oversee complex executive calendars by arranging appointments, adjusting priorities, and ensuring leadership is prepared for daily commitments.
• Organize meetings, conference calls, and special events, including coordinating logistics, confirming attendance, and distributing materials in advance.
• Develop agendas, presentation content, briefing packets, and other documents needed to support executive decision-making and external engagements.
• Manage domestic and international travel plans by securing transportation, lodging, itineraries, and related meeting arrangements while addressing changes quickly.
• Prepare and submit expense documentation, including support for Concur and Concur Travel processes, with close attention to accuracy and timeliness.
• Maintain organized records, correspondence, and administrative files while monitoring deadlines and following up on outstanding action items.
• Act as a central point of coordination between executive leadership and internal or external stakeholders, including senior leaders, board contacts, donors, and partners.
• Provide dependable office support during periods of heavy activity, travel, or executive absence to help maintain continuity across key operations.
• Handle sensitive information with discretion and deliver responsive administrative support that reflects a high standard of excellence.

• At least 5 years of experience providing executive-level support to C-suite leaders or senior leadership teams.

• Strong written and verbal communication skills with the ability to produce clear business correspondence and presentation materials.

• Advanced proficiency in Concur as well as Microsoft Office, including Outlook, Word, Excel, and PowerPoint.

• Demonstrated ability to manage multiple priorities, stay organized, and meet deadlines in a fast-paced setting.

• Experience coordinating detailed executive calendars, meetings, and complex travel arrangements.

• Proven discretion in handling confidential information and sensitive business matters.

• Strong attention to detail and interpersonal skills that support effective collaboration with leadership and external stakeholders.

• Bachelor’s degree preferred.
