We currently have a full-time Executive Assistant opening available. The schedule for this position is Monday - Friday, 40 hours per week with flexibility. The starting rate for this role is $23/hr.

Position Description
The Executive Assistant serves as a trusted administrative partner to the President & CEO, ensuring the efficient coordination of executive priorities, communications, and organizational initiatives. This position anticipates needs, manages competing priorities, and applies moves-management and project-tracking processes to keep key initiatives, relationships, deadlines, and action items moving forward. Serving as a central point of coordination among the President & CEO, executive leadership, and the Board of Trustees, this role ensures timely, accurate information flow that supports sound decision-making and effective governance. Through disciplined follow-through and sound judgment, the Executive Assistant strengthens executive effectiveness and helps advance the organization's mission-driven goals. The Executive Assistant should have the heart of a servant in accordance with Colossians 3:23 "Whatever you do, work at it with all your heart, as working for the Lord, not for human masters."
Key Tasks and Responsibilities
  • Manage the CEO's calendar, scheduling meetings, appointments, and travel to align with organizational priorities.
  • Track action items, key relationships, deadlines, and follow-up tasks across departments using project management systems to ensure timely advancement and completion.
  • Prepare, proofread, and format correspondence, KPI reports, presentations, and internal communications on behalf of the CEO.
  • Coordinate logistics for Board of Trustees meetings, including agendas, meeting materials, minutes, and follow-up action items.
  • Serve as a liaison between the CEO and internal staff, external partners, donors, and community stakeholders.
  • Maintain organized digital and physical filing systems for executive records, contracts, and confidential documents.
  • Monitor and prioritize the CEO's incoming communications, flagging time-sensitive or high-priority items for immediate attention.
  • Assist in tracking donor cultivation activities and key relationship touchpoints in partnership with fund-raising staff, updating TRM's CRM system (Virtuous).
  • Coordinate cross-departmental projects and initiatives assigned by the CEO, ensuring deadlines and deliverables are met.

Education Training and Experience
  • Associates degree required, bachelor's degree preferred or equivalent work experience.
  • 3 years of administrative experience.
Knowledge Skills and Abilities
  • Ability to think critically and analyze complex situations in a time-sensitive manner.
  • Ability to communicate effectively and in a professional manner in dealing with people, staff, and clients.
  • Emotional and social intelligence to problem solve and deal with confrontation in a calm, reconciling manner.
  • Advanced computer skills with knowledge of internet, email and proficiency in Microsoft programs.
  • Ability to maintain strict confidentiality.
  • Strong organizational and time-management abilities are critical.
  • Ability to work with individuals of various socio-economic, ethnic, and racial populations.
