Job Summary
The Executive Assistant to the Chief Marketing Officer plays a critical role in supporting the marketing organization's effectiveness and operational excellence. This position provides high-level executive support while helping to coordinate marketing leadership operations across a large, fast-moving marketing team.
The ideal candidate is highly organized, proactive, and solutions-oriented, with the ability to anticipate needs, manage competing priorities, and operate professionally and discreetly. This individual will serve as a trusted partner to the CMO, helping manage executive time, facilitate leadership team operations, and ensure the smooth day-to-day functioning of the marketing department.
This hybrid role encourages 2-3 days per week in the New York office, along with additional onsite support for key meetings, leadership events, and department initiatives. The Executive Assistant will also serve as a central point of contact for the marketing organization within the NYC office.
Key Responsibilities
Executive Support
• Provide high-level administrative and operational support to the Chief Marketing Officer and additional marketing leaders as directed.
• Manage a complex and dynamic executive calendar, prioritizing meetings and commitments to align with business objectives and leadership priorities.
• Serve as a primary liaison between the CMO and internal and external stakeholders, helping coordinate communication and manage inbound requests.
• Prepare briefing materials, agendas, and presentations to ensure the CMO is fully prepared for meetings, events, and key engagements.
• Coordinate domestic and international travel logistics, including itineraries, accommodations, and expense reporting.
• Approve T&E and other expenses on behalf of CMO and designated marketing leaders.
• Support day-to-day executive needs during in-office workdays, including meeting logistics and hospitality coordination.
Leadership Team Operations
• Support the planning and coordination of Marketing leadership team meetings, including agenda preparation, materials coordination, and follow-up tracking.
• Collaborating with the Marketing Operations team, ensure key initiatives and action items are documented and communicated across leadership stakeholders.
• Coordinate meetings with C-Suite, Corporate, and Executive Leadership
• Assist with preparation and logistics for leadership off-sites, strategy sessions, and special initiatives.
Project and Operational Coordination
• Assist with the coordination of cross-departmental projects and initiatives led by the CMO or marketing leadership team.
• Track deadlines, follow-ups, and deliverables to help ensure projects move forward efficiently.
• Support the organization and management of key documents, presentations, and shared resources used by the marketing leadership team.
Office and Workspace Coordination
• Serve as a primary point of contact for the marketing organization within the NYC office.
• Manage incoming mail and packages and coordinate distribution.
• Oversee office supplies, marketing, promotional merchandise, and inventory management.
• Help maintain a welcoming, organized office environment, partnering with building management as needed.
• Greet and assist visitors and employees during in-office days.
Events and Team Support
• Assist with the planning and execution of marketing events, leadership meetings, and internal gatherings.
• Provide on-site support during major meetings, presentations, and team events.
• Coordinate employee recognition initiatives and internal team celebrations in partnership with leadership and other executive assistants.
Confidentiality and Professionalism
• Handle sensitive and confidential information with the highest level of discretion and professionalism.
• Represent the CMO and the marketing organization with strong judgment, diplomacy, and emotional intelligence.

• Bachelor's degree in Business Administration, Marketing, or related field preferred.
• 3-5 years of experience supporting senior executives (C-suite or VP level preferred).
• Exceptional organizational skills and ability to manage multiple priorities in a fast-paced environment.
• Strong written and verbal communication skills with attention to detail.
• Demonstrated ability to anticipate executive needs and proactively solve problems.
• High degree of professionalism, discretion, and confidentiality.
• Proficiency in Microsoft Office Suite, Google Workspace, Airtable, and modern collaboration tools.
• Comfortable working in a hybrid office environment with on-site presence when leadership is in the office
