Executive Assistant to CEO

Position Summary

We are seeking a highly organized, proactive, and discreet Executive Assistant to provide high-level support to the CEO. This role requires exceptional communication skills, strong business judgment, and the ability to manage complex schedules, confidential information, and frequent travel arrangements. The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and is comfortable traveling alongside the CEO for meetings, conferences, events, and business engagements.

Key Responsibilities

  • Manage and coordinate the CEO’s daily calendar, appointments, meetings, and priorities
  • Arrange and oversee all domestic and international travel logistics, including flights, accommodations, transportation, itineraries, and expense reporting
  • Travel with the CEO as needed to support meetings, conferences, events, and executive operations
  • Serve as a primary point of contact between the CEO and internal/external stakeholders
  • Prepare reports, presentations, meeting agendas, and briefing materials
  • Attend meetings, take notes, and track follow-up action items
  • Handle confidential and sensitive information with professionalism and discretion
  • Coordinate executive-level events, dinners, and special projects
  • Assist with personal and business-related tasks as assigned
  • Screen calls, emails, and correspondence on behalf of the CEO
  • Maintain organization of files, records, and operational documents
  • Support communication and coordination across departments to ensure executive priorities are executed efficiently

Qualifications

  • Bachelor’s degree preferred
  • 3+ years of experience supporting C-level executives or senior leadership
  • Exceptional organizational and multitasking abilities
  • Strong written and verbal communication skills
  • High level of professionalism, discretion, and confidentiality
  • Proficiency in Microsoft Office Suite, Google Workspace, and scheduling platforms
  • Ability to work flexible hours, including evenings and weekends when necessary
  • Willingness and ability to travel frequently, including overnight and international travel
  • Strong problem-solving skills and ability to adapt quickly in dynamic environments
