Executive Assistant

We are seeking a highly organized, detail-oriented Executive Assistant - HR & Operations to provide administrative, reporting, and project support to executive leadership and the Human Resources team.

This role is ideal for someone who enjoys working with data, keeping projects organized, maintaining accurate records, and ensuring important administrative tasks do not fall through the cracks. The Executive Assistant will support a combination of traditional executive administrative responsibilities and HR Coordinator-level functions, including report preparation, spreadsheet management, dashboard updates, employee documentation, and follow-up on key initiatives. 

Schedule: Full-Time | Monday-Friday | On-site | Garden Grove | $25-$29hr

Essential Responsibilities
  • Provide administrative and project support to executive leadership and the HR team, including scheduling, meeting coordination, follow-up, and special projects.
  • Track deadlines, action items, projects, and outstanding deliverables to ensure timely completion.
  • Prepare and maintain reports, presentations, spreadsheets, dashboards, trackers, and other leadership materials.
  • Run recurring reports and compile data from HR, payroll, recruiting, scheduling, and other business systems.
  • Maintain and update Excel and Google Sheets used for HR and operational reporting, including weekly, monthly, and quarterly scorecards.
  • Review data for accuracy, identify missing or inconsistent information, and flag items requiring follow-up.
  • Support HR administrative processes throughout the employee lifecycle, including onboarding, offboarding, status changes, leave tracking, employee documentation, and personnel records.
  • Assist with HR audits and ensure required employee records and documentation are complete and accurate.
  • Support cross-functional projects involving HR, Operations, Recruiting, Payroll, and other departments.
  • Maintain project trackers, coordinate information across teams, and follow up with responsible parties on open items.
  • Document processes and assist with developing and updating SOPs, workflows, and administrative procedures.
  • Identify opportunities to improve reporting, organization, accuracy, and administrative processes.
  • Handle confidential employee and business information with discretion and professionalism.
  • Provide additional executive, HR, and operational support as business needs evolve.
What We're Looking For

The right person for this role is someone who naturally asks, "What still needs to be completed?" and follows through until it is done. You should enjoy creating order, maintaining accurate data, keeping leadership organized, and making sure deadlines and follow-up items are not missed.

You do not need to be an HR expert, but you should be comfortable supporting HR processes, handling confidential information, working in spreadsheets, and learning the systems and processes necessary to keep the department running efficiently.

Requirements

    • 2+ years of experience in an Executive Assistant, Administrative Assistant, HR Coordinator, Operations Coordinator, or similar role preferred.
    • Strong proficiency with Microsoft Excel and/or Google Sheets, including formulas, sorting, filtering, data organization, and reporting.
    • Experience maintaining dashboards, trackers, or recurring business reports strongly preferred.
    • Strong attention to detail and commitment to data accuracy.
    • Excellent organizational and time-management skills.
    • Ability to manage multiple priorities and meet deadlines with limited supervision.
    • Strong written and verbal communication skills.
    • Comfortable working with confidential employee and business information.
    • Ability to learn new software and systems quickly.
    • Experience supporting HR, payroll, recruiting, healthcare, or multi-location organizations is a plus.
