Pay Transparency: This position's annual pay range is $77,406.58 to $82,935.60 DOE. 

Primary Worksite Location:  On-site in Seattle, Washington (5 days per week).  Exceptions are subject to management approval. 



Job Summary:

The Executive Assistant - Employee Success, Racial Equity & Healing (ESREH) works in close partnership with the Chief Human Resources Officer (CHRO) and contributes to Treehouse's success by helping build strong, efficient, and collaborative partnerships internally and externally. In this role, the Executive Assistant - ESREH tracks complex and competing priorities for the CHRO and ensures to meet Treehouse's mission and intended impact while ensuring leadership focus on advancing organizational mission, impact, and long-term transformation.


This role is rooted in equity, and actively contributes to building systems and practices that dismantle structural inequities. The Executive Assistant - ESREH supports and advances a culture of abundance, restoration, and transformation, helping cultivate an environment where historically marginalized communities experience dignity, access, and opportunity.


 The Executive Assistant - ESREH is a mission-driven, equity-centered partner who provides high-level administrative support to advance the organization's goals, values, and mission. This role fosters accountability and care while embedding operational practices that promote healing, belonging, and sustainable change. 


Essential Duties and Responsibilities:


Administration and Calendar Management:

  • Provide high-level, targeted executive administrative support, serving as the CHRO's primary point of contact and response to staff inquiries, requests, and concerns, ensuring responsiveness grounded in respect, clarity, and equity.
  • Manage complex calendars with a strategic lens, prioritizing time in ways that reflect organizational commitments to abundance, impact, and transformation.
  • Provide administrative meeting support to the CHRO and the ESREH team as appropriate, including scheduling; serving as the CHRO's liaison; preparing agendas, presentations, and materials; taking notes or minutes; room reservation, setup, and cleanup; and running virtual and in-person technology with attention to accessibility, inclusion, and equitable participation.
  • Prepare, develop, and execute presentations, including researching, drafting, and finalizing complex documents and reports, as assigned, while supporting a culture of restoration and continuous improvement.
  • Reliably maintain assigned departmental administrative records in accordance with compliance requirements and organizational transparency.
  • Route DocuSign signatures, manage invoices, and ensure timely processing of documentation.
  • Coordinate travel logistics and track arrangements.
  • Maintain strict confidentiality and uphold trust in all interactions.

Executive Communications and Culture Development:

  • Coordinate communication and messaging on behalf of the CHRO with clarity, integrity, and alignment to organizational values.
  • Collaborate with the Marketing and Communications team to ensure messaging reflects commitments to pro-Blackness, decolonization, and equity-centered storytelling.
  • Partner with ESREH teammates to cultivate a workplace culture grounded in dignity, restoration, accountability, and care.
  • Model proactive, transparent communication practices that strengthen trust and belonging across teams.

Project and Initiative Management:

  • Responsible for project management administration in support of the CHRO, including managing budgets, timelines, contracts, and resources. Work independently or in collaboration with the project management team or other Executive Assistants to scope and administer projects, manage logistics, keep records and report on outcomes.
  • Support and manage projects, including timelines, budgets, contracts, and deliverables, ensuring alignment with strategic priorities and equitable outcomes.
  • Contribute to initiatives that drive transformational change, centering equity and community-informed practices.
  • Work in collaboration with other administrative staff across the organization to ensure that projects are in alignment and are appropriately resourced and implemented with cultural responsiveness and trauma-informed approaches.
  • Support specific strategic departmental projects/initiatives, including scoping, tracking goals and success metrics, and reporting on outcomes.
  • Edit and proofread organizational materials as identified by the CHRO in collaboration with content experts to ensure materials are clear, accurate, and accessible.
  • Manage the department SharePoint site to support ESREH, which could include design, document organization, and ensuring up-to-date access for team members. Support transparency and knowledge-sharing.
  • Track and manage contract deliverables for senior leadership members, proactively communicating deadlines and progress.

Departmental Support:

  • Identify and implement process improvements that enable organizational growth rooted in abundance and sustainability.
  • Partner with the CHRO to maintain an effective operating rhythm aligned with strategic goals and transformational outcomes.
  • Assist with the development and implementation of program initiatives, providing logistical support and contributing to project planning.
  • Provide support for HR-related meetings, including note-taking and follow-up action tracking.
  • Plan and execute events, retreats, and off-site meetings, handling logistics, vendor management, and budget tracking; foster connection, reflection, and restoration.
  • Serve as a liaison across departments and with external partners, ensuring alignment and effective collaboration, and maintaining confidentiality of appropriate information.
  • Support the CHRO in shaping strategy and operations that reflect equity, decolonization, pro-Blackness, abundance, transformation, and restoration.
  • Engage in ongoing learning to strengthen support for historically marginalized communities.
  • Demonstrate abundance by highlighting available resources and training opportunities that support staff development.

Secondary Functions:

  • Serve as backup for office manager duties during absences, including managing daily office operations, answering the main phone line, ordering office supplies, receiving and distributing mail, and monitoring the general Treehouse info email inbox to respond to general inquiries for up to two months.
  • Perform other duties as assigned.

Requirements


Qualifications:

  • 3-5 years' experience in an executive assistant or similar function for a senior executive leader, ideally a CEO or Executive Director of a nonprofit organization, or equivalent experience interfacing with seasoned executives in a fast-paced environment.
  • Must satisfy Washington State and national criminal background requirements.
  • Current driver's license, and minimum WA state driver insurance coverage required, if applicable.

Knowledge, Skills, and Abilities:

  • Ability to communicate complex concepts concisely, clearly, and effectively across multiple levels, including the executive leadership team, peers, and managers.
  • Demonstrated sound judgment, tact, diplomacy, integrity, confidentiality, and professionalism in communicating information and working with all levels of employees.
  • Strong sense of self-awareness, can relate well, learn quickly, and adapt to changes while remaining calm under pressure.
  • Excellent written and oral communication skills including experience recording meeting minutes and action items.
  • Demonstrated ability to treat sensitive/confidential information with appropriate discretion.
  • Ability to lead, influence, and inspire without formal authority.
  • Excellent time management skills with proven ability to meet deadlines.
  • Strong attention to detail and accuracy.

  • Ability and aptitude with Microsoft Office 365 and other technology necessary for successful day-to-day functioning in the business environment, specifically: Intermediate to advanced proficiency in OneNote, Excel, Word, PowerPoint, Outlook, Zoom, and Teams.
  • Maintain confidentiality of information and sign a confidentiality agreement.

Working Conditions:

  • Full-time position; Monday through Friday, 8:30 AM-4:30 PM.
  • Must reside within Washington State to meet workplace reporting requirements.
  • Proof of insurance required upon request.
