Job description

StradBio is a small, fast-growing Seattle-based biotechnology company developing new therapies for cancers. We are looking for a highly organized, proactive Executive Assistant to support the StradBio leadership team. This is a hands-on, in-person role that sits at the center of our operations, keeping calendars running smoothly, ensuring contracts and documents move through the right channels, and serving as a key interface with external partners in billing, legal, and administration.

Role Description:

  • Manage complex calendars for leadership, including scheduling internal meetings, external calls, and travel
  • Coordinate logistics for in-person and virtual meetings, including preparing agendas and tracking follow-ups
  • Serve as the primary point of contact for billing partners, tracking invoices, resolving discrepancies, and ensuring timely payments
  • Interface with legal counsel to route contracts, NDAs, and other agreements through review and signature pipelines
  • Maintain organized document management systems for contracts, compliance records, and administrative files
  • Support leadership with travel arrangements, expense reporting, and ad hoc administrative projects
  • Anticipate needs and proactively identify ways to improve processes and reduce friction for the team
Requirements:
  • 3+ years of experience as an Executive Assistant, Administrative Coordinator, or similar role
  • Excellent organization skills and demonstrated ability to manage multiple priorities and shifting deadlines in a fast-paced environment
  • Experience with contract routing and interfacing with legal and billing teams (biotech or life sciences experience a plus)
  • Proficiency with standard office and productivity tools (Microsoft Office, Sharepoint, DocuSign or similar)
  • Strong written and verbal communication skills
  • Comfortable working closely with a small, senior team and taking ownership of tasks without close supervision
