Job Description
The Administrative Assistant supports Investor Relations and Finance by ensuring smooth daily operations and promoting an organized, efficient work environment. In this onsite role, you'll serve as a trusted partner who helps the team stay connected, prepared, and focused by managing different administrative and operational activities. You'll work with Finance leaders, investors, and collaborate across departments. We offer variety, autonomy, and the opportunity to support high impact work within a dynamic Finance organization. You will report to our Vice President, Investor Relations and Market Strategy.
Your Responsibilities:
Administrative
  • Provide executive administrative support to the Vice President of Investor Relations and Market Strategy, ensuring smooth operations for the broader team.
  • Work with senior leadership, investors, analysts, customers, and partners in a high visibility environment.
  • Manage the investor relations calendar, balancing multiple competing requests and understanding important plans to guide scheduling decisions.
  • Support occasional extended work hours.
  • Coordinate domestic and international travel, including itinerary changes, and ensure all travel documents (passports, visas) remain current.
  • Prepare and submit and accurate expense reports.
  • Manage office supply inventory and orders.
  • Process invoices promptly and maintain vendor relationships for Investor Relations and Market Strategy and Treasury.
  • Maintain subscriptions and renewal tracking for the team.
  • Build relationships across finance and other departments.
  • Handle confidential information.
  • Balance changing priorities while anticipating upcoming needs and deadlines.
  • Maintain a positive, steady demeanor during periods of high demand or pressure.
  • Be the primary contact for all incoming and outgoing mail and packages.

Investor Relations Specific
  • Help with meeting and informational requests from sell-side analysts and buy-side investors.
  • Update data in CRM system about investors and our recent engagements.
  • Run investor reports in CRM system for upcoming meetings, conferences, roadshows, and ad hoc requests.
  • Organize logistics for quarterly earnings call with important partners and teams.
  • Help coordinate investor conferences, roadshows, onsite visits and meetings.
  • Help plan annual investor meeting during Automation Fair.
  • Review transcripts following webcasted events and submit necessary updates for final publishing.
  • Support presentation requests from internal departments.
  • Update HR organizational charts and Outlook distribution lists.
  • Update Facilities floor plan and coordinates evacuation rosters and training.

The Essentials - You Will Have:
  • High school diploma or equivalent
  • Five or more years of relevant executive administrative experience.

The Preferred - You Might Also Have:
  • Investor relations or finance background.
  • Experience with CRM software.
  • Experience with Concur expense and travel platform.
  • Proficient in Microsoft Outlook, Teams, OneNote, Word, PowerPoint and Excel.
