An executive administrator is responsible for handling the daily administrative tasks for a group of executive professionals. Your job duties include creating statistical reports for the executives, overseeing the daily activities of the executive office area, and developing meeting agendas for executive briefings. The educational qualifications for this career include an associate degree, although some employers prefer a bachelor’s degree in business administration. You need to have strong organizational skills and have experience working in an administrative position.

What are the key skills and qualifications needed to thrive as an executive administrator, and why are they important?

To thrive as an Executive Administrator, you need strong organizational skills, attention to detail, and experience with office management, often supported by a degree in business administration or a related field. Proficiency in office software like Microsoft Office Suite, scheduling systems, and sometimes project management tools is essential. Excellent communication, discretion, and problem-solving abilities set top performers apart in this position. These skills ensure efficient executive support, smooth office operations, and effective management of sensitive information.

How does an executive administrator typically manage competing priorities and last-minute requests from leadership?

Executive Administrators often juggle multiple high-priority tasks and must respond quickly to shifting demands from executives. Strong organizational skills, proactive communication, and the ability to reprioritize work efficiently are essential. Job description

Executive Assistant to the CEO

Location: Battle Ground/Tacoma, WA
Employment Type: Full-Time
Compensation: $60,000-$80,000 annually
Reports To: CEO

Arrow Financial Group, an Ameriprise Financial practice, is seeking a highly capable Executive Assistant to serve as a trusted partner to our CEO.

This is more than a scheduling role. You will manage the CEO’s inbox, calendar, priorities, and logistics so their time is focused on the highest-value work. The right person is proactive, exceptionally organized, discreet, and confident using sound judgment to keep important details and relationships from slipping through the cracks.

What You’ll Do

  • Manage and prioritize the CEO’s inbox, responding in their voice when appropriate and escalating only what requires direct attention.
  • Own and maintain a complex calendar across multiple businesses and personal commitments; protect focus time and resolve scheduling conflicts proactively.
  • Prepare the CEO for meetings by ensuring agendas, context, materials, and follow-up items are organized in advance.
  • Track commitments and action items from meetings, following through with internal and external stakeholders until work is complete.
  • Coordinate travel, expenses, ordering, errands, document preparation, and other administrative needs from start to finish.
  • Refine rough drafts, emails, presentations, and documents into clear, polished, professional communications.
  • Maintain organized files, accurate contacts, and relationship notes to support timely, thoughtful outreach.
  • Serve as a professional and welcoming point of contact for clients, partners, and team members.

Decision-Making and Ownership

You will act as an extension of the CEO across email, phone, and in-person interactions. You will have authority to arrange, book, and transact on the CEO’s behalf within established guidelines. You will not make commitments related to the CEO’s positions or finances without approval.

As you learn the CEO’s preferences and demonstrate strong judgment, your level of autonomy will grow from working under direction, to recommending decisions for approval, to independently acting on their behalf when appropriate.

Why This Role Matters

This role is designed for someone who wants meaningful ownership and enjoys making a measurable difference behind the scenes. You will help create focus, follow-through, and a consistently professional experience for everyone who interacts with the CEO.

How to Apply

Please submit your resume and a brief note explaining why this Executive Assistant role is a strong fit for you.

Requirements

What We’re Looking For

  • Proven experience supporting senior leadership; experience supporting a single executive or principal is strongly preferred.
  • Strong judgment and prioritization skills, including the ability to determine what needs immediate attention and what can wait.
  • Exceptional attention to detail and consistent follow-through.
  • A proactive, solutions-oriented approach to solving problems and improving efficiency.
  • Strong written communication skills, with the ability to adapt to another person’s voice and style.
  • High level of discretion and professionalism when handling confidential personal, financial, and business information.
  • Comfort using CRM, email, calendar, document-management, and AI tools.
  • Experience with EOS or a similar operating system is a plus.
