Executive Admin Asst

Job Summary and Qualifications

This position provides oversight into the secretarial support function for hospital administrators and may provide specific executive administrative support to the CEO facility. Duties include but are not limited to supporting the CEO's calendar. Perform clerical functions such as preparing correspondence, travel arrangements, schedule meetings and other activities. Compile corporate performance reports for CEO review, as directed. Ensure continuity of operations by keeping CEO informed while present or away. Perform market research on business opportunities and competitors. In addition, this position may be responsible (on an as-needed basis) for providing administrative support related to contract administration, e.g., document creation, preparation, execution, compliance, renewal and/or termination. Incumbent will ensure that contract documents follow guidelines from start through closeout. This position will also review requests for proposals and track, manage and report on all contract documents flow and turnaround times.

What You Will Do In This Role:

1. Shows knowledge of department policies/procedures

2. Manages the executive officer's calendars and schedules appointments.

3. Confidentiality

4. Keeps and publishes monthly calendar.

5. Screens incoming calls and correspondence and respond independently when possible.

6. Organizes programs, events, meetings, or conferences by arranging facilities, and caterers, issuing information or invitations, coordinating speakers and controlling event budget.

7. Prepares agendas, notices, minutes, and resolutions for meetings.

8. Prepares confidential correspondence, reports, and other complex documents.

9. Mission, Vision, & Value

10. Performs complex and confidential secretarial functions. Responds to routine external correspondence. Type memos, purchase requisitions, payment requests, and other department forms and documents.

11. Creates and supports database and spreadsheet files.

12. Sends faxes as requested.

13. Makes photocopies as requested.

14. Orders office supplies and supports supply cabinet.

15. Supports various databases and spreadsheet files as requested by executive offers.

16. Performs other duties as assigned.

What Qualifications You Will Need:
  • Minimum Education: High School Diploma or GED equivalent prefers some college.
  • Minimum Experience: 3 to 5 years of hospital administration experience or preferred equivalent

Skills: Excellent human relations and oral/written communication skills. Prefer management experience in hospital/health care administration. Proven managerial skills. Supervisory experience preferred.
