Job description

Executive Assistant to the Chief Executive Officer

C.W. Williams Community Health Center | Charlotte, NC

Support Leadership. Protect Priorities. Make an Impact.

C.W. Williams Community Health Center is seeking an experienced Executive Assistant to the CEO to provide high-level administrative and organizational support to the Executive Office.

This position is ideal for a highly organized professional who demonstrates exceptional discretion, strong professional communication skills, sound judgment, and the ability to manage multiple priorities in a fast-paced environment.

The Executive Assistant will serve as a trusted partner to the CEO and Executive Leadership Team and will interact regularly with senior leaders, Board members, employees, community partners, and external stakeholders.

Key Responsibilities

·         Manage the CEO’s complex calendar, meetings, travel, and competing priorities.

·         Coordinate Executive Leadership Team, Board, committee, and special meetings.

·         Prepare professional correspondence, reports, presentations, agendas, briefing materials, and meeting minutes.

·         Track executive action items and follow up with leaders to ensure timely completion.

·         Coordinate projects and communications across multiple departments.

·         Screen and prioritize requests requiring the CEO’s attention.

·         Maintain organized executive files, records, contracts, and confidential documents.

·         Serve as a professional liaison between the CEO, leadership, Board members, employees, and external partners.

·         Handle sensitive personnel, legal, financial, strategic, and organizational information with strict confidentiality.

·         Anticipate executive needs and proactively resolve routine administrative issues.

·         Represent the Executive Office with professionalism, courtesy, diplomacy, and discretion.

What We’re Looking For

Required

·         Associate degree in Business Administration, Healthcare Administration, Public Administration, Communications, or related field, or equivalent experience.

·         5+ years of executive-level administrative experience supporting a CEO, President, Executive Director, or senior executive.

·         3+ years of experience managing complex projects, competing priorities, and executive-level responsibilities.

·         Demonstrated experience handling highly confidential information.

·         Experience coordinating executive or Board meetings and preparing professional correspondence, reports, agendas, presentations, and meeting minutes.

·         Strong proficiency with Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, and Teams.

The Ideal Candidate

You are:

·         Highly organized and able to manage multiple priorities without losing attention to detail.

·         Exceptionally discreet and trusted to handle sensitive information appropriately.

·         A strong professional communicator who writes clearly and communicates confidently with executives, employees, Board members, and external stakeholders.

·         Diplomatic, composed, and professional—even under pressure.

·         Proactive and able to anticipate needs rather than waiting to be asked.

·         A strong problem-solver with excellent follow-through.

·         Comfortable working independently and exercising sound judgment.

·         Able to build positive working relationships while maintaining appropriate professional boundaries.

Healthcare, nonprofit, FQHC, or Board of Directors experience is preferred but not required. A bachelor’s degree and administrative supervisory experience are also preferred.

Why This Role Matters

The Executive Assistant helps ensure the CEO and Executive Leadership Team can remain focused on organizational priorities and the mission of serving the community. Your organization, judgment, communication, and discretion will directly contribute to the effectiveness of the Executive Office.

If you are a polished, highly organized professional who knows how to communicate effectively, protect confidential information, and keep executive priorities moving, we invite you to apply.
