Job description

We are looking for an organized Executive Assistant to support a nonprofit organization in Madison, Wisconsin through a Contract engagement. This position will play a key role in keeping executive schedules aligned, preparing clear materials for leadership and board meetings, and coordinating travel logistics in a fully remote work environment. The ideal candidate is detail-oriented, dependable, and comfortable managing shifting priorities while providing high-level administrative support.
Responsibilities:
• Manage complex executive calendars, prioritize scheduling needs, and ensure leaders are prepared for upcoming commitments.
• Create, format, and organize presentation materials and board meeting documents with a high degree of accuracy and care.
• Arrange domestic and/or business travel, including itineraries, reservations, and related logistics.
• Coordinate executive meetings by handling invitations, agendas, timing, and follow-up communication.
• Provide remote administrative support while maintaining strong organization, responsiveness, and attention to deadlines.
• Anticipate scheduling conflicts or logistical issues and resolve them proactively to keep activities running smoothly.• Demonstrated experience supporting senior leaders in an executive assistant or similar administrative role.
• Strong background in calendar coordination across multiple priorities and stakeholders.
• Proven ability to manage travel planning and prepare detailed itineraries.
• Experience assembling well-prepared meeting materials, including board or leadership presentations.
• Comfortable working independently in a remote setting while staying highly responsive and organized.
