Job Summary
The Executive Assistant, Marketing & Sales serves as a key partner to the SVP and broader commercial team, providing high-level administrative support while driving coordination and execution across marketing, sales, and events.
This is a highly execution-focused role responsible for ensuring seamless operations across a wide range of priorities, from executive support to trade show logistics and internal event planning. The ideal candidate is organized, detail-oriented, proactive, and thrives in a fast-paced environment where priorities shift and timelines matter.
This is a hybrid role, with the majority of work performed remotely. However, the position requires regular in-person presence in the Stoughton/Madison area to support logistics, materials management, and event preparation.
Limited travel required to support key meetings and events (estimated at less than 10%).
Essential Duties & Responsibilities
Executive Support
  • Manage calendar, scheduling, travel, and expense reporting for the SVP
  • Coordinate meetings, agendas, and follow-ups
  • Prepare presentations, materials, and communications on behalf of the SVP
  • Support internal communications and handle sensitive information with discretion
  • Provide general administrative support as needed

Marketing & Sales Operations Support and Coordination
  • Support marketing and sales teams through coordination of materials, timelines, and deliverables
  • Help manage marketing budgets at an operational level, including purchase orders, invoicing, vendor coordination and setup, and budget tracking and reconciliation
  • Assist with coupon and promotional setup as needed
  • Support trafficking and coordination of marketing and sales materials
  • Assist in organizing and maintaining commercial documentation and assets
  • Manage inventory of branded merchandise, marketing materials, and sales support materials

Trade Shows, Meetings & Event Execution
  • Serve as primary point of contact for trade shows, including:
    • Planning and execution of all event logistics
    • Booth materials and shipments
    • Vendor coordination
    • Travel and hotel accommodations for team members
  • Serve as event planner and coordinator for key meetings (annual sales meetings, team training, and other large-scale events), including:
    • Venue sourcing and vendor coordination
    • Agenda development
    • Material consolidation
    • Presentation management and proofreading
    • Coordination of logistics and execution
    • Event budget management

Additional Responsibilities
  • Support cross-functional coordination across marketing, sales, and other teams
  • Assist with shipping, fulfillment, and general logistics as needed
  • Perform other duties as assigned in support of the SVP and broader team

Qualifications / Minimum Requirements
  • 4-7+ years of experience providing administrative support, executive support is preferred
  • Experience with event planning (including coordination of logistics, vendors, and materials)
  • Strong organizational and multitasking skills with high attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (PowerPoint, Excel, Outlook)
  • High level of professionalism, discretion, and ownership
  • Experience supporting marketing and/or sales teams is a plus
