Executive Assistant

YWCA Dayton Position Description

YWCA Dayton, a 24 hours organization dedicated to the elimination of racism and the empowerment of women, seeks an energetic, dedicated person to be an integral part of our team. The Executive Assistant is a Non-Exempt level position working 40 hours weekly with some evenings and weekend activities. The Executive Assistant to the President/CEO serves as the right hand for the President/CEO of YWCA Dayton; a primary point of contact for internal and external constituencies on all matters pertaining to the President/CEO, serves as a liaison to the board of directors and executive team; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. 

The Executive Assistant must be creative and enjoy working in an environment that is mission-driven, results-driven and community oriented. The ideal individual will expect excellence and exercise good judgment in all situations. This person wholeheartedly supports the vision, mission and values of YWCA Dayton.


PRIMARY RESPONSIBILITIES: 

The Executive Assistant will:

  • Provide high-level administrative and strategic support to the President/CEO
  • Manage complex calendar scheduling, prioritizing competing demands and resolving conflicts proactively
  • Coordinate executive communications, including preparing and editing correspondence, presentations, reports, and board materials
  • Serve as a liaison to the Board of Directors, including onboarding new members and supporting board engagement
  • Manage sensitive and confidential information with discretion and professionalism
  • Lead and coordinate special projects and executive initiatives with organizational impact
  • Anticipate needs and ensure the President/CEO is prepared for meetings, events, and commitments
  • Facilitate strong communication between the CEO's office and internal departments
  • Build and maintain relationships with stakeholders, donors, and community partners
  • Prioritize and manage multiple deadlines in a fast-paced environment
  • Provide additional administrative support to the executive team as needed




Requirements

SKILLS & COMPETENCIES:

  • Customer Focus: Demonstrated high level customer service; responsive to the needs and requests of clients, residents, staff and Board of Directors with a willingness to collaborate and ability to prioritize and meet deadlines. 
  • Effective Communication: Demonstrate exceptional verbal and written communication skills, organization skills and high attention to detail, strong collaboration skills and ability to relate to diverse groups and stakeholders; showing empathy with strong moral and ethical values towards the mission of the organization.
  • Mission Understanding: Demonstrated understanding and commitment to YWCA USA and YWCA Dayton's mission, vision, history, and programs, demonstrated core values; demonstrated emotional intelligence; champion for the organization and face of the organization.
  • Business Acumen: Demonstrated high level of professionalism, poise and maturity, strong interpersonal and excellent customer service skills, demonstrated technical skills with Microsoft office products and presentations.

EDUCATION & EXPERIENCE:

  • Minimum of 7 years of executive-level administrative support experience 
  • Associate's degree in a related field preferred 
  • Nonprofit experience highly preferred 
  • Equivalent combination of education and 10+ years of experience may be considered
  • Raiser's Edge fundraising software proficiency
  • Working knowledge of Microsoft 365
