What is an executive assistant?

Executive Assistants (EAs) are highly skilled administrative professionals who provide support to senior executives or managers within an organization. Their responsibilities often include managing schedules, organizing meetings, preparing reports, handling correspondence, and acting as a liaison between the executive and other staff or external parties. EAs play a crucial role in ensuring the smooth operation of an executive's office by anticipating needs, prioritizing tasks, and maintaining confidentiality. The Susan Horak Group is seeking an organized and dependable Executive Assistant to support the CEO with day-to-day administrative operations and real estate business activities.
This position plays an important role in keeping the business organized and running efficiently. Responsibilities include preparing business documents, managing schedules, coordinating communication, supporting real estate transactions, and helping ensure projects and deadlines stay on track. While many responsibilities are routine, the work varies from day to day, so the ability to adapt, stay organized, and follow through is important.
The ideal candidate has experience supporting an executive, business owner, or senior leader and is comfortable managing multiple priorities while maintaining professionalism, accuracy, and attention to detail.

Key Responsibilities:
Responsibilities include:
  • Preparing, editing, and proofreading reports, legal documents, presentations, correspondence, and other business documents.
  • Maintaining company records, databases, and filing systems to ensure information is accurate, organized, and accessible.
  • Coordinating communication between the CEO, team members, clients, and business partners, including answering calls, managing inquiries, and ensuring requests are handled promptly.
  • Maintaining the CEO's calendar, scheduling meetings, tracking commitments, reminders, and deadlines, and coordinating occasional travel arrangements when needed.
  • Assisting with real estate transactions by preparing contracts and related documents, coordinating with clients, agents, lenders, title companies, and monitoring transaction deadlines.
  • Supporting sales and prospecting efforts through lead research, property research, and maintaining organized lead records.
  • Assisting with special projects, event coordination, and other administrative responsibilities as assigned.

Qualifications:
The successful candidate will have:
  • At least three years of experience in an administrative or executive assistant role supporting management or senior leadership.
  • Strong organizational skills and the ability to manage multiple responsibilities with accuracy.
  • Professional written and verbal communication skills.
  • The ability to work independently and maintain confidentiality.
  • Proficiency with Microsoft Office, particularly Word and Excel.
  • Strong documentation, note-taking, and record-keeping skills.
  • Experience in a real estate, legal, or other transaction-based administrative environment is strongly preferred.
  • A bachelor's degree is preferred but not required.

Why Work With Us?
The Susan Horak Group is a growing team committed to professionalism, organization, and exceptional client service. As Executive Assistant to the CEO, you'll work closely with leadership while gaining experience in both business administration and real estate operations. If you're looking for a role where your organizational skills make a meaningful difference each day, we'd like to hear from you.

How to Apply:
Please submit your resume along with a brief cover letter.
In your cover letter, tell us about a time you had to keep multiple priorities organized for an executive or team. What system or approach did you use to stay on top of deadlines? Please also tell us about your experience with document management, scheduling, or real estate transactions, and share an example of a time you successfully managed multiple priorities or deadlines.

Applications submitted without a cover letter may not be considered.
