Job description

Executive Assistant To The President

Paul Davis Restoration is in need of an A Player who can continue to build our talented team. We are looking to add an individual who can support the President and our operation as a whole. The Executive Assistant to the President will work as an administrative support piece for the President. This person will administer and organize special projects as they are assigned. The Executive Assistant will provide support to the entire leadership team and Paul Davis team to complete new and old initiatives.

Basic Requirements:

  • High School Diploma or equivalent
  • Bachelor's degree is preferred
  • Excellent administrative and process skills
  • Five plus years of experience in an Administrative Position
  • Experience with Microsoft Office Suite 365
  • Ability to learn and operate our primary operating systems: RMS, Xactimate, TSheets, SharePoint, and OneDrive
  • Ability to work independently

Overall Duties Include:

  • Assist President with a broad variety of administrative related project's
  • Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the President's behalf
  • Organizing meetings, including scheduling, sending reminders, and organizing special accommodations as needed, and agenda drafting
  • Field email and phone requests for President, then organize and prioritize responses
  • Manage the President's calendar, including making appointments and prioritizing the most sensitive matters
  • Organizing team member travel and special accommodations as needed
  • Perform office duties including ordering supplies and organizing cleaning efforts
  • Attending meetings and taking notes as needed
  • Support the production of presentations
  • Work directly with Leadership Team to coordinate President's key initiatives

High Level Job Duties include:

  • Work closely with the President to keep them well informed of upcoming commitments and responsibilities
  • Attend and actively participate in leadership development trainings such as but not limited to selling, situational leadership, priority management, facilitation, conflict resolution and interviewing
  • Participate in on going business feedback loop.
  • Participates in marketing and business development as the need arises
  • Participates in emergency services when an "All hands on deck" scenario arises
  • Participate in on-going problem solving and practicing continuous improvement of the department and company as a whole
  • Participate in Paul Davis social events, Goal Setting and Review, All Team Meetings and as many other opportunities as possible to engage with the rest of the team

Hours:

Full time Monday through Friday 8am – 5pm and based at Paul Davis office. This may occasionally require after hours availability, including weekends, and/or holidays

Reward:

Compensation is evaluated on a yearly basis effective from the start date of employment of each calendar year. An annual reward planner (ARP) is completed at that time. Promotions and advancement within the position bring progressively greater challenge, learning, responsibility, and compensation. Compensation: $45,000.00 - $60,000.00 per year
