Job description

Position Overview

National EWP is seeking qualified candidates for a full-time Office Manager for our Woodland, CA office.  The Office Manager will support and help facilitate company administrative functions, specifically related to the California Field Office.

Essential Functions

Duties may include, but are not limited to the following:

National EWP Operations:

Administrative Services

  • C-Suite Executive support
  • Special projects related to Administrative and Leadership Groups
  • Assist with the organization of company-related items (document scanning, filing, OneDrive management, etc.)
  • Assist Office Managers or other Administrative Assistants as directed by the Administrative Services Manager
  • Assist the Administrative Services Manager with small company projects and duties (locally)

 Operations:

  • Backup for field travel for operations, scheduling, calendaring, and special projects
  • Assist with expense reporting for field travel cards
  • Conference call scheduling, support, and note-taking
  • Act as backup for auditing payroll and time entry approvals
  • Maintain/manage annual filings and licensing

 Leadership Team

  • Complete and submit expense reports weekly for the Leadership Team
  • Assist the Administrative Services Manager with the coordination of meetings
  • Assist with travel and transportation as needed
  • Direction from the Administrative Services Manager on special projects

 CA Office Support/Windmill Vineyards:

California Office

  • Open/close office
  • Manage repairs, inspections, and services for the office
  • Sort mail, coordinate outgoing packages, and receive incoming shipments
  • Order and restock kitchen, supply room, conference room, and gym
  • Manage building tours and incoming guests
  • Manage at once projects from the CEO
  • Maintain equipment list for small companies
  • Coordinate with new and existing vendors on services
  • At once projects as directed by the Administrative Services Manager

Vineyard Office

  • Manage bi-weekly inventory of supplies
  • Order/restock supplies
  • Coordinate tours as requested
  • Manage at once projects for events and property use
  • Manage quarterly filings for JDM Estate
  • Coordinate/Manage services and repairs for event building
Qualifications
  • High school diploma or equivalent required
  • Proven administrative experience required 
  • Proficiency in Microsoft Word and Outlook required
  • Knowledge of office management systems and procedures required
  • Strong verbal and written communication skills required
  • Excellent time-management skills and the ability to prioritize work required
  • Attention to detail and problem-solving skills required
