Field Operations Coordinator

POSITION SUMMARY

The Field Coordinator supports operational excellence across Evolve Med Spa centers by ensuring consistent front-desk scheduling processes and effective use of the Zenoti platform.

This hands-on, field-based position requires regular travel to Evolve centers. The Field Coordinator will onboard newly hired team members, provide ongoing coaching and retraining, identify operational and training opportunities, and reinforce company scheduling standards.

Working closely with Center Managers and the Director of Operations, this role helps improve scheduling accuracy, strengthen front-desk performance, optimize the patient experience, and promote consistency across all Evolve locations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Travel regularly to Evolve Med Spa centers to provide in-person system training for newly hired team members.
  • Deliver refresher training and coaching to existing employees on Zenoti workflows, scheduling standards, and operational best practices.
  • Reinforce company Standard Operating Procedures related to scheduling, appointment management, cancellations, confirmations, and patient communication.
  • Observe front-desk workflows during center visits and provide real-time coaching to improve consistency and efficiency.
  • Serve as a field-based resource for Zenoti questions, troubleshooting, and workflow guidance.
  • Identify system errors, workflow inconsistencies, and training gaps, escalating operational concerns when appropriate.
  • Document training activities, attendance, coaching provided, and recommended follow-up actions after each center visit.
  • Partner with Center Managers and the Director of Operations to coordinate training schedules and prioritize onboarding and retraining needs.
  • Monitor trends across centers and recommend process improvements, additional training opportunities, or updates to training materials.
  • Help ensure scheduling practices support an efficient, welcoming, and consistent patient experience across all locations.
