Job description

Responsible for theย planningย andย productionย of Special Events at Houston Zoo.ย This includesย internalย events and events hosted by outside organizations and/or individuals. Tasks includeย private event sales,ย customizing design of events andย coordinating all operational tasks associated with events including security, grounds, maintenance support, animal management,ย etc.ย Work closely with allย the otherย zoo departments to ensure that events run smoothly fromย inceptionย to completion.ย The overallย focus isย to drive revenue growth whileย maximizing theย clientย experienceย andย advancing theย zoo mission.ย

Jobย Duties and Responsibilitiesย 

  • Makesย decisionsย withย the bestย interestsย of Houston Zoo: our mission, ourย guests,ย and our animal collection.ย 
  • Plans, orders, acceptsย andย oversees catering/food needs; tables, chairs, and linens; decorations; venue set-up; venue breakdown and other staffing needs for internal and externalย events.ย 
  • Ensuresย that all event facility policies and procedures are beingย followedย by clients and vendors, and recommend changes, asย needed.ย 
  • Securesย contractsย with vendorsย for events, making them aware ofย zoo policies andย procedures.ย 
  • Preparesย event notices, workย ordersย and other support requestsย in a timelyย manner.ย 
  • Ensuresย complete,ย timely,ย accurateย communication of special event details withย appropriate departments,ย staff,ย andย volunteers.ย 
  • Ensuresย that the clientโ€™s needs have been met before, during and after anย event, troubleshooting any issues that arise.ย 
  • Contributesย to the selling of private events, responding to inquiries via email andย telephone.ย 
  • Performsย site visits for new and existingย clients.ย 
  • Preparesย proposals, Banquet Event Orders,ย and updatesย event contracts asย neededย usingย Cater easeย software.ย Createsย event diagrams/layoutsย using diagramming softwareย 
  • Maximizesย revenues for Houston Zoo through upsellingย techniquesย to meet revenue goalsย 
  • Maintainsย an inventory of all event supplies and equipment. Replenish,ย repair,ย or replace inventory as needed.ย ย 
  • Servesย as Internal event staff to all other departments, including but not limited to: Development,ย Volunteers,ย Education, Animals and Conservation.ย ย 
  • Conductsย independent research on things such as industry trends and event venues to ensureย Houston Zooโ€™s event programย remainsย relevant andย adaptable.ย 
  • Independently oversees events assigned and is empowered to makeย timely, sound decisions across all operating hours, including before or after-hours events, weekends, and holidays.ย 
  • Collaborates closely with the Business Operations team to align front- and back-of-house systems and processes, ensuringย an efficient, integrated, and guest-focused experience.ย 
  • Contributes to saving animals in the wildย through:reduction of waste, water and energy use andinspiring guests and staff to take wildlifeย protectionย actions.ย ย 
  • Contributes to other operational priorities as needed.ย 

Education and Experienceย ย 

  • Bachelorโ€™s degree (BA/BS) from four-year college or university; or equivalent combination of education and experience.ย 
  • Ability to workย independently with minimalย supervision.ย 
  • Excellent oral and written communications skillsย 
  • Strong interpersonal and facilitation skillsย 
  • Ability to partnerย acrossย teams and with all levels ofย staff.ย ย
